CRM Manager Tasks

The tasks (or to-do list) tab lists user tasks. Tasks can either be for the user creating them or can be assigned to another user. The grid can be filtered by date, user, priority, type or customer/supplier URN. The [ CRM Manager | Tasks ] tab consists of five areas:

  • Filters
  • Task Items Grid
  • Task Breakdown Grid
  • Task Extended Description
  • Task Completion Description

Filters

  • User (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter): filter by the user.
  • Priority (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter): allows the user to record the priority status of the task. These priorities are set by the user in [ System Data | Contact Manager | Task Priorities ].
  • Type (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter): used to denote the type of task and are set in [ System Data | Contact Manager | Task Types ].
  • URN (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter): URN of the contact.
  • Date From and Date To (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter): filter the grid using a date range. This filter only applies to completed tasks.

Task Items Grid

The information displayed in the grid is as follows:

  • User: user task is assigned to.
  • URN: URN of customer/supplier.
    Note: if a contact URN is not visible press F8 to load the Company/Contact Assignment Dialog.
  • Basic Description: free text field.
  • Ord: task order number.
  • Priority: set by user, defines task priority. These are setup in the [ System Data | Contact Manager | Task Priorities ] section.
  • Type: set by user, e.g. customer service. These are setup in the [ System Data | Contact Manager | Task Types ] section.
  • Act Hrs: read only field, this field is the cumulative total of Time Taken in the Task Breakdown Grid for that task.
  • Created: the date task created.
  • Complete: the date the task was completed.
  • HL: check box highlights the line with a yellow background to make it stand out.
Note: Completed tasks have red text, and tasks with associated reminders have Dark Green backgrounds.


Tasks Tab Context Menu

  • Goto Customer...: opens the [ Customer | Detail | General ] screen for the customer the user is focused on.
  • Goto Action: allows the user to view any actions that are associated with the task.
  • Assign Customer: allows the user to assign a customer/supplier to a task using F8 to bring up the customer/supplier lookup.
  • Reset Customer: removes any previously assigned customer from the task.
  • Create Associated Action: allows the user to create an action associated with the task (e.g. creating an action will post the action to the diary and remind the user if the [ System Values | Contact Manager | CRM ] is active).
  • Delete Associated Action: allows the user to delete an action associated with the task (e.g. creating an action will post the action to the diary and remind the user if the [ System Values | Contact Manager | CRM ] is active).
  • Move Task/Action to another User: reassigns the task the user is currently focused on to another User by selecting them from the drop down menu.
  • Create Comm Log Entry: adds a note to the Comm Log for the entry currently focused on in the grid. The task must be entered in the [ Customer | CRM | Tasks ] tab.
  • Mark item as complete: marks the task/action the user if focused on as complete.
  • Mark item as NOT complete: marks the task/action the user if focused on as NOT complete (e.g. if the task/action status has altered; allows user to revert back from marked as complete to marked as NOT complete).
  • Show All (complete and not complete): shows all tasks/actions regardless of 'complete' status according to filters set.
  • Show Summary: shows date filtered task summary for selected item, detailing user, task type and hours taken. Users can use the 'complete' check box to look at completed or non-completed tasks/actions.
  • Show Breakdown Summary: shows task breakdown details on a specific day, selected by the user. Details user, task description, breakdown details and number of hours taken. The 'Cmp' (complete) check box allows the user to mark the task as complete.
  • Show Colour Legend: informs the user of the meaning of the colours used in the [ Tasks ] grid.
  • Apply Value Range: allows the user to specify a value that is to be applied to all of the currently selected rows/items for the current column.
  • Clear Selection: deselects the currently selected line(s).

Task Breakdown Grid

Task breakdown allows user to sub-divide task into chunks. BtnGreenPlus.jpg adds sub-items for the task, BtnGreenMinus.jpg deletes them. Each sub item can have a description, the date and time taken in hours recorded manually entered.

Task Extended Description and Task Completion Description

The 'Task Extended Description' and 'Task Completion Description' are free-text boxes to enter additional information about the task. Changes can only be made if the user has the "HQ" User Permission.
