Invoice items awaiting COS postings Dialog


Defer Cost of Sales stops Khaos Control from automatically posting the Cost of Sale to the nominals, and therefore the Profit & Loss (P&L), at the point sales invoices are issued. Cost of Sale is posted semi-manually instead. This affords your business the opportunity of checking the Cost of Sale (stock value) figures that are going to be posted before they hit the nominal accounts and the P&L and to change stock values and/or overhead figures as required.

The dialog consists of filters and options at the top and a grid.

Filters and Options

  • Date From and Date To: the date range selected for the report.
    Note: the Date From is only applicable when not restricted to only Non-posted items.
  • Show non-Posted (default=ticked): only display items that have not been posted to the accounts.
  • Hide Excluded (default=ticked): the grid does not display stock items that have been marked as excluded using the context menu option Excluded selected items.
    Notes:
    1. If stock items have been marked as Excluded selected items in this grid then it does not automatically refresh, users need to untick and tick this checkbox.
    2. COS Excluded Items will display with a mauve/purple background when the checkbox is unticked.

Grid

  • Sales Invoice Details: displays the invoice details for the item whole cost of sale has been deferred.
    • Inv. Code: displays the Invoice code for the documents that was issues, usual prefixes are CN for credit note and SI for Sales Invoice.
    • Inv. Date: the invoice date of the document.
    • Sk Code: the stock code for the item that was issued.
    • Sk Desc: the stock description for the item that was issued.
    • Qty: the quantity of stock that was sold or credited. This will always be displayed as positive figure but the movement will be determined by the Inv. Code, e.g. a Credit will be stock returning and will debit the stock nominal, or a Sale Invoice will be stock leaving and will credit the stock nominal.
  • Individual Stock Item Value: displays the individual stock value details for the item whole cost of sale has been deferred.
    • Issued Sk COS: the stock value of the individual item at the time of issue.
    • Current Sk COS: the current stock value of the individual item.
    • Unit COS Diff: the difference between the original stock value (Issued Sk COS) and the current stock value (Current Sk COS). So (Issued Sk COS - Current Sk COS = Unit COS Diff)
  • Invoice Stock Value Totals: displays the total stock value posting for the item whole cost of sale has been deferred.
    • Issued Sk COS: the original issued stock value at the time of issue multiplied by the Qty. (Qty * Individual Issued Sk COS = Order COS at Issue). This would have been the Cost of Sale posting if Deferred Cost of Sale was not turned on.
    • Current Sk COS: the current stock value for the item multiplied by the Qty. (Qty * Individual Current Sk COS = Current Order COS). By default the current stock value total will be used to post the Cost of Sale.
    • Invoice COS Diff: displays the difference between the Issued Stock COS Total and Current Stock COS Total and represents the difference between the original total stock value and the current total stock value (Issued Sk COS - Stock COS = Invoice COS Diff) and essentially this is how much more or less money you made using the current stock value. This also displays the figure that would have been posted to the Stock - COS Nominal to date if Deferred Cost of Sales was not used. This figure could be very important if the user is very confident of the original stock values (Order Unit, Order COS) and wants to post a correcting journal to their stock nominal.
  • Sk COS Post: the figure that will be posted to the Stock - COS nominal which is calculated from the Qty multiplied by the either issued or current stock value depending on the option ' Use Issused Stock Value' in [ System Values | Accounts | General | General ].
    • Value: displays the Net total figure that will be journalled from the Stock to Stock - COS Nominal.
  • Unposted:
    • PInvoices: the number of un-posted purchase invoice(s) which have the stock item on, thereby making it easier to know which stock items to defer until later.

Context Menu

  • Colour Legend: displays the a colour legend indicating the posting behaviour of the line items in the Deferred Cost of Sales Report.
  • Exclude Selected Items: highlights the selected items in purple and excludes them from the report totals.
  • Include Selected Items: includes any previously excluded items in the report.
  • Change Selected Stock Value Source: the following options enable the user to manipulate or correct the stock cost of sales posting.
    • Issued Invoice Stock Value: all selected items will post from Stock to the Stock - COS nominal using stock value they had at the time they were issued. This posting behaviour will be the used if the option ' Use Issused Stock Value' in [ System Values | Accounts | General | General ] is ticked.
    • Current Stock Value: all selected items will post from Stock to the Stock - COS nominal using the current stock value . This posting behaviour will be the used if the option ' Use Issused Stock Value' in [ System Values | Accounts | General | General ] is not ticked.
    • Manual Unit value: all selected items will post with a user defined cost of sale. This overrides any other Stock COS posting method.
    • Default: Resets the selected lines to the system default as defined in the option ' Use Issused Stock Value' in [ System Values | Accounts | General | General ].
  • Clear Selection: de-selects all currently selected rows/items in one action.
