How To: Compare Profit and Loss Sales Nominals with Sales Summary


Introduction

There are two angles to consider when comparing the Sales Nominals on your Profit & Loss with the sales reported in Sales Summary. The first is to make sure that the filters you're using in [ Sales Summary | Invoices ] are appropriate, and the second is to ensure that there are no stray transactions, either from imported order history or rogue SP Ledger (or other) postings, that are impacting your figures.

Sales Summary Filter Set

When comparing Sales Summary figures with the Sales Nominal entries on the P&L please bear in mind the following:

  • Whilst any of the first three sales summary tabs are appropriate, [ Sales Summary | Invoices ] is the ideal starting point.
  • Date Range - this needs to tally with the period(s) you're reviewing these figures against on the P&L.
  • Stock Type, Company Class etc - these filters need to be set to reflect the way in which your Sales Nominals are being populated. See Nominal Types for more information on this, along with the following How To: Create Nominal Accounts.
  • Date Type - Invoice Date.
  • Invoice Type - Issued Only.
  • Include Credits and Return Exchanges.
  • Exclude Delivery.

Comparison - Single Sales Nominal

  1. Open the [ Accounts | Profit & Loss ] screen and load the year you are interested in.
  2. Green select the Sales Nominal line on the grid and double-click on the total below to add it to the number store.
  3. Open the [ Sales Summary | Invoices ] screen and define the filter set appropriately, bearing in mind the points outlined above.
  4. Add the Net Total to the number store and compare the two figures.
  5. If there is a difference, then review the invoices in the Sales Summary screen and the detail in the Sales Nominal for the period(s) involved in order to find the difference.

Comparison - Multiple Sales Nominals

As above, but green selected the nominals in the [ Accounts | Profit & Loss ] and send the total figure to the number store. You will then need to ensure that your filter set in [ Sales Summary | Invoices ] is defined appropriately with regards to the nominal mappings defined.

Common Issues to Watch Out For

  1. Imported order history - If you have had historic order records imported as part of your implementation of Khaos Control, these will be reported in [ Sales Summary | Invoices ]. However, they will not be included in the Profit & Loss's sales nominals.
  2. SP Ledger Entries - SP Ledger entries, and other journals to the Sales Nominals will not be reported in the Sales Summary screens.
