How To: Copy a Price List

Users may wish to copy a price list to a new, or existing, Price List.

Copying Prices from an old Price List to a New Price List

Scenario:
Copy prices from an existing price list to a new price list.

  • Old Price List has the old prices on.
  • New Price List needs to be updated with the items from the Old Price List.

  1. Create a new Price List, in this example New Price List, see How To: Setup a Price List. This is the price list you want to copy to.
  2. Open a Promotion screen (show me how).
  3. Open the [ Price Lists ] tab.
  4. Open the price list you wish to copy, for example Old Price List .
  5. Click on the BtnCopyPriceList.jpg button.
  6. In the Select Price List popup select the price list you want to copy to, for example New Price List.
  7. Click on OK.
  8. Click on Yes in the Confirm popup.
  9. Click on OK in the popup informing the user that the price list has been copied.
  10. Check that the price list has been copied successfully.

Updating an Existing Price List with New Prices from a Hidden Price List

Scenario:
This is very useful if a new set of prices are being published on a specific date. The new prices can be set up in advance in a hidden Price List without being available to your customers. On the date the updated prices are to be made available to your customers, you will need to copy the new prices from the hidden price list onto the customers existing Price List. The benefits are that you do not have to change the Price Lists associated with the customer, as you are updating their existing price list/s.

  • Hidden Price List has the New prices on.
  • Existing Price List needs to be update with the items from the Hidden Price List and is the price list attached to the customers record in their [ Customer | Detail | Structured Pricing ] tab.

  1. Create a new Price List, in this example Hidden Price List, see How To: Setup a Price List. This is the price list you want to copy from.
    Note: you may already have a hidden price list used for updating prices.
  2. Open a Promotion screen (show me how).
  3. Open the [ Price Lists ] tab.
  4. Open the price list you wish to copy, for example Hidden Price List.
  5. Click on the BtnCopyPriceList.jpg button.
  6. In the Select Price List popup select the price list you want to copy to, for example Existing Price List.
  7. Click on OK.
  8. Click on Yes in the Confirm popup.
  9. Click on OK in the popup informing the user that the price list has been copied.
  10. Check that the price list has been copied successfully.

Note 1: customers will only be entitled to the prices on a Price List if:

  1. the price list is attached to their customer record in their their [ Customer | Detail | Structured Pricing ] tab.
  2. the price list is attached to a Keycode and the Keycode is added to the sales order, see How To: Setup a Price List associated with a Keycode.

Note 2: copying prices from a new price list to an old one does not replace the old prices, but adds to them. It is important, therefore, to delete the contents of the old price list (if you are updating the entire price list) before copying the new one across, to avoid duplication of prices.
