How To: Create a Return to a Supplier from a Customer Return

Returns can be created that automatically add the item being returned to a Supplier Return.

Setup the Return Reason

  1. Open a System Data screen (show me how).
  2. Double click on [ System Data | Sales Order Processing | Return Reasons ].
  3. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  4. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  5. In the Return Reason enter 'Faulty Goods " Return to Supplier' (this will make it easier to track items using this method)
  6. Set the default Processing Type to 'Return to Supplier'.
  7. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the new Return Reason

Create a Return to a Supplier from a Customer Return

  1. Open a Sales Order screen (show me how).
  2. Find and open the Sales Order which contains the item to be returned.
  3. Select the item lines which are to be returned.
  4. Click on the Return button button.
  5. Click Yes to the create return for selected item(s) dialog box.
  6. Type the quantities for the goods to be returned into the upper grid.
  7. Enter the Return Reason of 'Faulty Goods "Return to Supplier' using the F4.
    Notes:
    1. This will need to be done for each item that is being returned to the supplier.
    2. The return reason needs to have a processing type of Return to Supplier.
  8. Click on the Set Supplier button button.
  9. From the suppliers lookup locate the appropriate supplier.
    Note: if you are not sure who is the supplier double click on the stock item to load the [ Stock | Details | Suppliers ] screen.
  10. If no exchange item is required, leave the lower grid empty.
  11. If the item is a direct exchange click on the down arrow, click on Yes.
  12. If the item is to be exchanged for an alternative item, click on the check box on the left hand side of the lower grid and use F3 to open the Stock LookUp dialog box. Select the exchange items required.
  13. Use the check boxes to credit the original delivery, and/or charge delivery on the exchange as required.
  14. Tick the Move Stock On Process checkbox if required:
    • If BtnTriStYesXP.jpg ticked the levels of the stock being returned and any stock being sent out will be adjusted when the Process into Credit/Exchange button is pressed.
    • If BtnTriStNoXP.jpg unticked the the levels of the stock being returned and any stock being sent out will be adjusted when the return is issued.
  15. Check the invoice address is correct by moving to the Invoicing tab.
  16. Check the delivery address is correct by moving to the Delivery tab.
  17. Add Notes, if required, in the Notes tab.
  18. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the Sales Return

Notes:

  1. For each return where the processing type is Return to Supplier a new supplier return will be created and linked to the originating customer return, see the Customer Rtn field in the Return Details area in the [ Return to Supplier ] screen.
  2. If the stock item(s) being returned are stock controlled, it/they will automatically be put into the Returns Bin when the supplier return is created.
  3. To preserve the original sell price and discounts for direct exchanges the sales order items must be moved from the upper grid to the lower grid using the direct exchange button the MOVE ROW DOWN button shows a green arrow pointing downwards. .
