How To: Create and Process a Manual Credit Note

  1. Open a Sales Order screen (show me how).
  2. Press Ctrl+N or click the New item icon is the button bar's NEW button to open the Customer lookup dialog.
  3. Use the filters to find the customer.
  4. Double-click on the customer.
  5. Change the type in the drop down menu to "Credit Note".
  6. Add a miscellaneous stock item to the sales order:
    1. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
    2. Use the filters to locate the stock item code that is usually used for manual credit notes (typically "SYS_MISC". If the SYS_MISC item has not been created on your system then it will need to be setup, see How To: Create a SYS_MISC Stock Item.
    3. Double click on this stock item.
  7. Turn off the delivery charge and amend the Unit Price until the order total is correct.
  8. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the Sales Order.
  9. Press Ctrl+I or right-click on the grid and choose 'Goto' then 'Goto Invoice' from the grid's context menu.
  10. Click the 'Print Credit Note (Single)' button.
  11. Select your printer and click 'OK'.
  12. Select the credit note and click on the 'Move Next' button.
  13. Select the credit note and click on the 'Issue' button.
  14. Click 'Yes' when prompted to confirm issuing the credit note.

Once the Credit Note has been issued, there are three options open to you:

  • Credit note invoices can be printed and issued in batches.
  • Keycodes can be applied to credit notes, however, any discounts are not applied. This allows keycode analysis and sales analysis to take into account credit notes.
