How To: Email Suppliers XML Purchase Orders



This option needs to be enabled, please email Development.



This functionality allows the user to email a XML file to the supplier. Before using this option, you need to set the supplier to have XML files and decide which method of sending the emails you wish to use.


Prerequisites

Supplier

  1. Open a Supplier screen (show me how).
  2. On the [ Details | General ] tab, Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  3. Click on the rollover button the green circular (anti-clockwise) arrow is the ROLLOVER button button in the Additional Options Area.
  4. Tick the XML PO Required option checkbox.
  5. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

Emails

The emails that are sent using this option can either be:

  1. Setup as an Email Template with a Trigger Type of PURCHASE ORDER and an associated Trigger Rule. The Trigger Rule will automatically include the XML file in the email, and you can also have the Attach PDF option enabled if you wish to include a pdf as well.
  2. Sent using the the email button button in the purchase order. This will send an email with both a pdf and XML file attached.
    Note: this option needs to be enabled; please email Development.

Sending the Emails

  1. Create the purchase order; see:
  2. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the purchase order if in edit mode.
  3. Depending on your setup:
    1. If using Trigger Rules and the user has opted to Send Immediately for all new Purchase Orders, then the email will be sent.
    2. Click on the the email button button to the left of the supplier's details. The email will open in your email software, which allows the user to add an additional information before sending.
