How To: Refund a Credit Note via the customer statement

Credit notes can be refunded from the [ Customer | Detail | Statement ] screen, the method depends on the original payment either credit card or cash, cheque or manually authorised credit cards.

Original Payment by Credit Card (Automatic)

  1. Open a Customer screen (show me how).
  2. Find and load the Customer / Supplier.
  3. Open the [ Customer | Detail | Statement ] screen.
  4. Focus on the credit note in the Statement Transactions grid.
  5. Right-click and from the Context menu select [Refund - Refund Credit Note or Payment (automatic)].
  6. In the Refunds Dialog:
    • Tick the 'refund?' checkbox.
    • Enter the amount to be refunded in the Amounts? column against the credit note.
    • Select the Bank Account for refunds from the drop down list below the grid.
  7. Click on 'OK'.
  8. In the Confirm popup click on 'Yes'.
  9. In the next two Information popups click on 'OK'.
  10. Refresh the screen to display the refund. The Source and Other Ref columns will show the entry as a 'Refund'.

Original Payment by Cash, Cheque or manually Authorised Credit Card (Manual)

  1. Open a Customer screen (show me how).
  2. Find and load the Customer / Supplier.
  3. Open the [ Customer | Detail | Statement ] screen.
  4. Focus on the credit note in the Statement Transactions grid.
  5. Right-click and from the Context menu select [Refund - Refund Credit Note or Payment (manual)].
  6. In the Manual Refund Dialog:
    • Check the Amount.
    • Select the Type.
    • Select the Bank for the payment.
    • Enter the Auth Code if refunding a credit card payment manually.
  7. Click on 'OK'.
  8. In the Confirm popup click 'Yes'.
  9. The Source and Other Ref columns will show the entry as a 'Refund'.

Note: the system can only refund unallocated portions of a transaction. Once a transaction is fully allocated the only method to generate a refund is to issue a credit note before processing the refund.
