How To: Setup Packaging Options



HHT2 is not enabled by default.
Training must be completed before using the HHT2 functionality.

Note: there will be additional costs involved if this option is enabled.

When using HHT every type of box used when generating batches of orders to be picked in the [ Sales Invoice ] screen must be configured in the system in order for the Batch Trolley Pick Report functionality to work correctly. A default packaging item must also be created as follows:

Creating the Default Packaging Item

  1. Open a Stock screen (show me how).
  2. Press Ctrl+N or click the New item icon is the button bar's NEW button .
  3. Populate the following mandatory fields:
    1. Stock Code: Packaging
    2. Short Description: Packaging
    3. Stock Type: Packaging
    4. Average Weight: 0.01
      Note: this will be included in Invoice weight calculations, so should be nominal amount (i.e. 0.01) or accurate!
  4. Open the [ Stock | Detail| Options ] screen.
    1. Tick the following options:
      • Packaging Item
      • Non-physical Item (unless you want to stock control the packaging)
    2. Untick the following options (unless you want to stock control the packaging and sell online):
      • Stock Controlled
      • Publish on Web
  5. Click Yes to any Confirm popups.

This packaging option must be setup as the default packaging stock item in System Values:

  1. Open [ System Operations | Edit System Values | Stock | Warehousing ] screen.
  2. Select Packaging from the Default packaging option in the top right.
  3. Click on OK.
  4. You will need to close Khaos Control for the change to take effect.

Creating the Other Packaging Stock Items

You need to create a packing stock item for each of your packaging types (large Jiffy bag, large box, small box etc), these packaging options are used to help the system work out how many boxes can be in a batch overriding the default option. Having created a default packing item, as per above, you can use the 'Copy Stock Item' function on the Other Actions Menu F9 to copy it and make changes.

  1. Open the stock item you just created PACKAGING.
  2. Press F9 or clicking the down arrow immediately to the right of the to open the 'Other Actions' menu.
  3. Select 'Copy Stock Item' from the menu.
  4. In the copied stock item update the following fields:
    1. Code
    2. Description
  5. Note that the fields on the options tab are correct.
  6. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

These packing items must be configured as packaging items in [ System Data | Packaging Options ] in order for them to be used by the Batch Trolley Pick Report functionality.

System Data - Packaging Options

The Packaging Options screen in System Data is where all packaging items are setup so that they can be used with HHT batch picking. The column headings are:

  • Packaging: the name of the packaging stock items, as chosen by the user (this would likely include box type descriptions or reference numbers as marked on the items by the manufacturer or distributor).
  • Courier: the courier that has already been setup on the system that will be used for that type of packaging.
  • Capacity: sets the maximum weight of items that can be packed into the box by default.
  • Volume From and Volume To: the volume range that the packaging item can contain. The units of measurement (Centimetres, Millimetres, Inches, etc) are not defined, but must be consistent with the chosen measurement units used throughout the system.
  • Orders Count: the maximum number of orders for each box that will be included within a batch (i.e. that can be fitted on a trolley).

Setting up the Batch Packaging Item

  1. Open a System Data screen (show me how).
  2. Open the [ System Data | Packaging Options ] screen.
    Note: when using HHTs this screen has three additional columns, see System Data - Packaging Options above.
  3. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  4. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  5. In the Packaging column press F4.
  6. Select the packing item from the list.
  7. Click on OK.
  8. In the Courier column press F4.
  9. Select the required entry from the list.
  10. Click on OK.
  11. In the Capacity column enter the capacity (max weight) of the packaging.
  12. In the Volume From column enter the start volume.
  13. In the Volume To enter the maximum volume the packing can hold.
  14. In the Orders Count set the number of sales orders that can be picked at any one time when using this packaging type.
  15. Repeat for each packing item.
  16. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save when finished adding the packing items.
