How To: Setup a Price List associated with a Keycode

Setting up a new Price List with discounted prices and associating that Price List with a Keycode will allow customers quoting the Keycode to be entitled to the discounted prices associated with the Price List. For example, customers with a specific Company Class receive a 25% discount on selected items using a Keycode. When the Keycode is applied to any sales order the customer receives the 25% discount when they buy the items on the Price List.

To create a Price List

  1. Open a System Data screen (show me how).
  2. Double-click on [ Sales Order Processing | Price Lists ].
  3. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  4. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  5. Enter the details relevant to the price list and make sure the 'Price List' checkbox is ticked.
  6. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

To set up a Price List

  1. Open a Promotion screen (show me how).
  2. Select the [ Price Lists | Stock Item/Price List ] tab.
  3. Select the required price list from the drop-down list.
  4. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  5. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  6. Enter the required information in the relevant columns.
  7. Repeat for more stock items if necessary.
  8. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

To apply the Price List to a Keycode

  1. Open up the Keycode that you created.
  2. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  3. Select the Price List from the drop-down list on the right-hand side under "Uses this Price List..."
  4. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the Keycode.

This Keycode is now linked to a Price List and will use the prices on that Price List.

Notes:

  • If a Keycode is applied to a sales order the prices from the Price List associated with that Keycode will be applied to the order along with any other prices that the customer is associated with.
  • To ensure that the prices on the Price List associated with the Keycode take priority on the sales order, the Keycode needs to have a higher priority than the customer's existing Price List. This is done by naming the Price List alphabetically higher than existing Price Lists. For example, "A Promotional Discount Price List" will be above "Summer Discounts" Price List.
  • When creating a new customer a source keycode can be added that does not match the company class, but that keycode will not be applied to new sales orders.
