How To: Setup and Use the Stock PNominal for Non-Sale Items

Stock purchase nominals (PNominals) may be used to record financial transactions for non-sales items, such as packaging, labels, pre-printed picking tickets, sales invoices and other stationery items. When posting purchase invoices the cost of the item will go to the correct purchase nominal account, instead of the stock nominal.

  1. Create a new stock PNominal with a System Type of "Purchasing" and an Account type of "Stock Item" (see How To: Create Nominal Accounts).
  2. Open a Stock screen (show me how).
  3. Load the non-sale stock item, or create a new one (see How To: Create a New Stock Item or How To: Create a Packaging Stock Item).
  4. If you are not currently in edit mode, press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
    1. In the [ Stock | Detail | Options ] tab tick the "COS Excluded Item" checkbox (there is no cost of sale associated with non-sales items).
    2. In the [ Stock | Detail | Accounting ] tab select the PNominal you created in the PNominal drop down.
      Note: if you can't see the PNominal you may need to right-click on the field and select Refresh.
  5. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save unless you are making further changes.

Notes:

  • The system will warn the user when saving a new entry if a duplicate nominal code has been created. The user can acknowledge the warning and continue or change the code used before saving again.
  • If the option Post header totals only (Sales) is enabled in [ System Values | Accounts | General | General ] then manufacturer / stock type / stock item nominal mappings cannot be used.
  • You cannot have duplicate nominal codes.
    Note : If you have duplicate nominal codes before upgrading to a version that does not allow duplicate codes, if you go into edit mode and try to save then a warning will appear and you will not be able to save.
