How To: Use Catalogue Prices on Sales Orders

Catalogue prices can be used on sales orders automatically (using a Keycode) or manually (using stock lookup). To understand the prices that will be applied on the sales order when using catalogues see, Catalogue Pricing Process.

Automatically

Using Keycodes to apply catalogue prices to a sales order allows the success of the catalogue to be tracked.

Setup

  1. Create the Keycode, see How To: Create a Basic Keycode.
  2. Create the catalogue, see How To: Create a Catalogue and at step 6 remember to enter the Keycode you have created.

Applying the Keycode to a Sales Order

  1. Create the sales order see How To: Create a New Sales Order.
  2. Before adding any items to the sales order:
    1. Click on the [ Sales Order | Additional ] tab .
    2. In the Order Amounts area press F8 or click on the .
    3. In the Keycode Lookup box click on the Go button.
      Note: you can filter for keycodes using the Keycode, Keycode Type and date range filters.
    4. Double click on the Keycode for the catalogue whose prices you wish to apply to the sales order.
  3. Stock items added to the sales order will use the price from the attached catalogue.

Note: The price used will be the price held against the stock item in the catalogue unless the Force Sales Order Lowest Price option is ticked in [ System Values | Sales | Pricing ] when the lowest price for the stock item will be used for example the price for the stock item listed against a BOGOF or Price List.

Manually

Setup

Create the catalogue, see How To: Create a Catalogue.
Note: You do not have to apply a Keycode to a catalogue if you are using the catalogue prices manually however, if you wish to track the success of a catalogue then you will need to attach a Keycode to the catalogue.

Adding Catalogue Items to a Sales Order using the Catalogue Stock Lookup

  1. Create the sales order see How To: Create a New Sales Order.
  2. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  3. In the Stock Lookup click on the BtnCatStockLookup.jpg button.
  4. Turn the traffic light filter next to the panel listing the catalogues to green.
  5. Double click on the catalogue whose stock items you wish to add, this will populate the grid with the items from the catalogue.
  6. Double click on the required stock item displayed in the grid to add it to the sales order. Alternatively, type the code into the stock code column to find the item and press Enter.
  7. More than one stock item can be added to the sales order by green selecting the items and double clicking on them.
