Stock Other Actions Menu

Display the drop-down 'Other Actions' menu either by pressing F9 or clicking the down arrow immediately to the right of the green circle with a white cross icon at the top of the button bar. The following functions are available:

  • Send To:
    • Not logged in: sends the loaded stock item as a Document Notification to a user that is not currently logged in.
    • User List (displayed below the Not logged in option: send a Document Notification to a user that is currently logged in.
  • Copy Stock Item: creates a copy of the currently loaded stock item, see How To: Copy a Stock Item. Users must note that a the system will NOT copy the following attributes:
    • Stock Relationships: when copying a Stock Item with relationships, either Build or Pack, the User is presented with a prompt to Copy the Relationships. If the User selects Yes to Copy Relationships, the system will replicate all the relationships associated with the item being copied. This includes all child items, and relationships in which the item itself is a child.
    • Structured Prices.
    • Complaints or Comments: but it does copy Extended Stock Descriptions.
    • Images.
    • UDAs.
    • Catalogue Pages.
    • Linked Documents.
    • Up / Cross Sell.
    • Locations: the new stock item must have a new location setup for it if Warehouse Control is being used. Until then it will be controlled by the system warehouse.
    • Country Bars

WARNING: Admin Users can copy a stock item, even if they do not have New Stock permissions.


  • User Defined Attributes (UDA): opens the User Defined Attributes (UDA) dialog, allowing UDAs to be set up and applied to stock items. If no stock item is currently selected then the Stock Lookup dialog will appear and a selection must be made, even if you only want to create new UDA but don't intend to apply then to the selected stock item. Please refer to the Stock User Defined Attributes (Stock UDAs) for more information.
  • Write Off / Quarantine: allows the user to either quarantine or write off stock. For how this affects the accounts see What happens to the Accounts when you Quarantine and Write Off Stock Items.
    • Quarantine Stock Item: the user can quarantine the currently loaded stock item by entering an amount when prompted in the popup. If quarantined stock is now suitable to be sold it can be put back into main stock by entering a minus figure to move that number of stock items out of quarantine and back into Stock.
      Note: This functionality and process is not used when Warehouse Control is enabled.
    • Write Off from Quarantine: the currently loaded stock item can be written from Quarantine, see How To: Write Off Quarantined Stock Items.
      Note: writing off stock items cannot be un-done!
    • Write Off Report: creates a report with an audit history of all stock items, together with written-off quantities and reasons. The user can choose to report on previously reported stock that has been written off or to exclude them and only report on all changes since the previous report.
      Notes:
      1. The user needs permission to Delete and Adjust stock in order to write stock off using this option.
      2. Within the Stock Write-Off Report, written off items are grouped stock item then date of write-off. The Buy Price and Sell Price columns are averaged when multiple write-offs have occurred, the Written-Off quantities are totalled.
      3. The bold totals for each stock item show as totals (not averages).
      4. Should multiple quantities of any stock item be written-off, the price shown against the write off will be multiples of the buy and sell prices, reflecting the quantity written off.
      5. The Site the stock was written off from is included in the report.
  • Update Value Proportion Global: allows users to update the value proportion of all, or just those items green-selected, Move With (Packs) or Build stock items en masse.
    Notes:
    1. This will not update the Stock Value of either the Relationship Parent stock item, or the Relationship Children themselves. The value proportion simply denotes the value of each of the stock item lines and allows the system to calculate profit margins for the stock items more accurately.
    2. The Value Proportion % can either be based on the child Stock Value (default) or the child Buy Price. Please email Support if you wish to change the calculation to be based on the child Buy Price.
    3. Updating Value Proportion Globally requires Admin level permission.
  • Web Configuration: opens the Stock Web Categories screen.
  • Export: the following web stock export options are available:
    • XML Stock Items (Selected): creates an XML file containing all stock item data for all stock items that are currently selected in the [ Stock | List ] grid.
    • XML Stock Items (WebCategory): creates an XML file containing all stock item data for all stock items that are currently setup and defined within the Stock Web Categories [ Stock | List ] grid.
    • XML Stock Status (Selected): creates an XML file with stock update status information for all stock items that are currently selected in the [ Stock | List ] grid.
    • XML Stock Status (All): creates an XML file with stock update status information for all stock items.
    • Actinic Stock Export (Selected): creates an Actinic CSV file with stock update status information for all stock items that are currently selected in the [ Stock | List ] grid.
    • Actinic Stock Export (All): creates an Actinic CSV file with stock update status information for all stock items.
  • Import Stock Items: opens the stock import tool allows the import of stock into the system, see Import Stock Items for more information.
  • Audit: opens the Audit Dialog.
