Free Item Reasons

The system allows users to setup free item reasons, see How To: Setup and Use Free Item Reasons for use with free or reduced items. On a sales order an extra column called 'Free Item Reasons' is added to the far right of the grid and the user is able to use the F4 key to add a reason for the item being either free or reduced.

Notes:

  1. "Free Item Reasons" is not switched on by default and has to be enabled on your system before you can use it. If you wish to use this feature please email Support.
  2. If a sales order imported via the web service with items that have a price of 0.00 but no free item reason specified, can be imported.

Free Item Reasons can be reported on in [ Sales Summary | Best Sellers ]. The filter is Free Items - Show orders containing free items with the specified 'free item reason' recorded. The filter allows the user to select the free item reason from a drop down list.

Free Item Reasons Grid

  • Description: the name of the Free Item Reason that will be displayed in the drop-down list for the user to select.
  • Default Reason: the reason entered against zero-priced items on orders when the user does not select a reason.
  • Web Default: this option is used for all imported sales orders which have a 0.00 price, but no reason, and will add the reason to the sales order line as part of the import process.
    Note: this should be used with the option Action if price zero set to 'Error'; otherwise, both web orders and normal sales orders can be raised with zero-priced items with no free item reason even without the Web Default checkbox being ticked.
  • Commercial Sample?: affects how these items are accounted for on EC reports such as Intrastat and the EC Sales List.

Free Item Reasons Context menu

  • Apply Value Range: allows the user to specify a value that is to be applied to all of the currently selected rows/items for the current column.
  • Clear Selection: deselects the currently selected line(s).
