Using the Copy Price List Button to Set Up Future Prices


Why Copy a Price List to update an Existing Price List?

Price Lists can be set up containing prices that you do not want to be published until a specific date, for example a 2023 Retail Price List. On 1st January 2023 the prices set up on the 2023 Retail Price List can be copied to the Retail Price List which is already attached to your customer's records. The prices can then be used by the customers on their sales orders.

What are the Benefits of Copying a Price List to update an Existing Price List?

The benefits of having a 2023 Retail Price List that can be updated in the weeks before 1st January 2023 and then copying this to the Retail Price List attached to your customer's records include:

  • Prices can be set up in advance on the 2023 Retail Price List, allowing time for negotiating new prices with suppliers, updating the prices and ensuring they are correct.
  • Users don't have to bulk update customer records on 1st January 2023; deleting one price list and adding the new one.
  • The prices on the 2023 Retail Price List can easily be copied to the Retail Price List.
  • The prices on the 2023 Retail Price List are not available to your customers until they have been copied to the Retail Price List.

Where is the Copy Price List Button?

The BtnCopyPriceList.jpg button is at the top of the screen in the following screens:

Example of Using the Copy Price List Button to Set Up a 2023 Price List

Scenario:
The company has a Retail Price List attached to their retail customer records. It contains the prices currently used by the retail company class during 2016. The prices change on 1st January 2023. A new 2023 Retail Price List is going to be created. It will contain all the prices for 2023 which are not currently available to the retail customers.

There are two steps:

  1. Step One - create the 2023 Retail Price List and copy the stock and prices from the Retail Price List so they can be reviewed and updated.
  2. Step Two - on the switch over day, 1st January 2023, delete all existing prices from the Retail Price List and copy the prices from the 2023 Retail Price List.

Step One

  1. Create a new Price List called 2023 Retail Price List, see How To: Setup a Price List.
  2. Open a Promotion screen (show me how).
  3. Open the Retail Price List you wish to copy the prices from.
  4. Click on the BtnCopyPriceList.jpg button.
  5. In the Select Price List popup select the 2023 Retail Price List price list you want to copy to.
  6. Click on OK.
  7. Click on Yes in the Confirm popup.
  8. Click on OK in the popup informing the user that the price list has been copied.
  9. Check that the price list has been copied successfully.
  10. Update all the prices (Quantity Breaks, Amount and/or percentage) in the 2023 Retail Price List, you may find the following pages useful:

Step Two

  1. Open a Promotion screen (show me how).
  2. Open the Retail Price List.
  3. Delete all the existing entries:
    1. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
    2. Focus in the grid and press Ctrl+A to select all the items.
    3. Press Ctrl+Del or click the DELETE ITEM button has an icon that shows a sheet of paper with a red minus in the bottom left. to delete the selected item.
    4. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.
  4. Open the 2023 Retail Price List you wish to copy the prices from.
  5. Click on the BtnCopyPriceList.jpg button.
  6. In the Select Price List popup select the Retail Price List you want to copy the prices to.
  7. Click on OK.
  8. Click on Yes in the Confirm popup.
  9. Click on OK in the popup informing the user that the price list has been copied.
  10. Check that the price list has been copied successfully.

Notes:

  1. The 2023 Retail Price List can be renamed 2024 Price List and updated as per step one above, ready for the next time the Retail Price List needs to be updated with price changes.
  2. Customers will only be entitled to the prices on a Price List if:
    1. the price list is attached to their customer record in their their [ Customer | Detail | Structured Pricing ] tab; or
    2. the price list is attached to a Keycode and the Keycode is added to the sales order, see How To: Setup a Price List associated with a Keycode.
