Accounts Stock Value Aged Analysis Tab

Overview

The Aged Analysis report provides a detailed view of the age and value of stock currently held within your business.
Available from Accounts | Stock Value | Aged Analysis, this report helps you understand:
  • How long stock has been held.
  • How much stock value is tied up in the warehouse.
  • Which products are moving quickly.
  • Which products may be slow-moving or ageing.
  • The value of stock held across different age ranges.
The report is designed to analyse stock holding movements and includes:
  • Active Stock
  • Quarantine Stock
  • Returned Stock
The report excludes written-off stock.
Note: Stock that has been adjusted into the system rather than received through a delivery process will not appear as a delivery. As a result, the Delivery Countdown option may not produce meaningful results for adjusted stock.

Understanding the Filters

After changing any filter, click Go to refresh the report.

Report Type

Choose how the information is grouped:

Stock Types

Displays one line per Level 2 Stock Type that has movement during the selected period.

Stock Items

Displays one line for each stock item that has movement during the selected period.

Display Mode

Choose how the monthly figures are shown.

Stock Value

Displays the stock movement value.
The report uses:
Current Stock Value × Net Movement for the Month
Colour coding is applied:
  • Green indicates net stock movement into the system.
  • Red indicates net stock movement out of the system.

Quantity

Displays movements as quantities instead of values.
Colour coding is applied:
  • Green indicates net stock movement into the system.
  • Red indicates net stock movement out of the system.
If a month shows no value, it may mean:
  • No stock movement occurred during that month, or
  • Movements into the system matched movements out of the system exactly.

Start Date

Defines the point in time from which the report works backwards.
The Start Date affects how age ranges are displayed but does not change the stock value calculations.
Note: Stock values shown are based on the current stock holding, not historical values.

Supplier Filter (URN)

Filter the report by supplier.
To select a supplier:
  1. Click the lookup button.
  2. Select the required supplier.
  3. Set the traffic light filter as required.

Site

If multiple sites are being used, the report can be filtered by site.

Stock Type

Filter the report by Level 2 Stock Type.
Select a stock type and set the traffic light filter to include or exclude matching records.

Delivery Countdown

When enabled, the month columns show the most recent deliveries required to make up the current stock level.
The report assumes that:
  • Older deliveries have already been sold.
  • The remaining stock originates from the most recent deliveries.
This allows you to identify:
  • Slow-moving products.
  • Stock that has been held for an extended period.
  • Warehouse value tied up in ageing stock.

Understanding the Report Grid

Code

The stock code.

Description

The stock item's short description.

Stock Value

The current value of the stock item.

Stock Level

The current quantity held in stock.

Month 0 to Month 6

Individual monthly periods working backwards from the selected Start Date.

Month 7 to Month 12

A combined view of movements between seven and twelve months ago.

Month 12 to Month 24

A combined view of movements between twelve and twenty-four months ago.

Month 24+

A combined view of movements more than twenty-four months old.
Note: During aged stock analysis, Khaos Control multiplies the stock value by the quantity remaining in stock. This includes discontinued items that still have a stock quantity greater than zero.

Colour Coding

The report uses colours to help identify stock movement patterns.
ColourMeaning
BlueCurrent stock level is greater than zero
GreenMonthly stock movement is greater than zero (stock moving into the warehouse)
PinkMonthly stock movement is less than zero (stock moving out of the warehouse)

Viewing Slow-Moving Stock

The Delivery Countdown option can be used to identify stock that has remained in the warehouse for long periods.
Typical uses include:
  • Identifying ageing stock.
  • Reviewing warehouse utilisation.
  • Highlighting products suitable for promotions or clearance.
  • Reducing excess stock holdings.
  • Reviewing purchasing habits.

Example: Identify Slow-Moving Stock

  1. Open Accounts | Stock Value | Aged Analysis.
  2. Set the required Start Date.
  3. Select Stock Items.
  4. Enable Delivery Countdown.
  5. Apply any supplier, site or stock type filters.
  6. Click Go.
The report will show which deliveries contribute to the stock currently held, helping to identify older stock that has not yet been sold.

Context Menu Options

Right-click within the report to access additional functions.

Colour Legend

Displays a reminder of the colour coding used within the report.

Clear Selection

Removes any currently selected rows from the grid.

Tips

  • Use Stock Value mode to understand the financial value tied up in ageing stock.
  • Use Quantity mode when assessing warehouse space and stock movement trends.
  • Combine the report with Supplier filters to identify vendors associated with slow-moving products.
  • Regularly review stock aged over 12 or 24 months to identify opportunities for stock reduction.
  • Use Delivery Countdown to understand which deliveries still make up your current stock holdings.
