Stock Budget Tab

Introduction

The Stock Budget feature allows you to set sales targets for individual stock items or stock types and compare actual sales performance against those targets.
Budgets can be used to monitor:
  • Expected sales quantities.
  • Target sales values.
  • Actual sales performance.
  • Variances between planned and actual results.
This can help identify trends, measure product performance and support sales forecasting.

Budget Screen Overview

The [ Stock | Budget ] tab consists of two main sections:
  1. Options and Filters
  2. Budget Grid

Options and Filters

The Options and Filters area allows you to control which budgets are displayed in the Budget Grid.

Date

Filters the Budget Grid based on a specific date.
When a date is entered, only budget records where the selected date falls between the Date From and Date To values will be displayed.
If the traffic light indicator is red (off), no date filtering is applied.

Budget on Stock Item

Select this option to create or view budgets for individual stock items.

Stock Item

Allows you to filter the Budget Grid for a specific stock item.
Use the stock lookup to select the required stock item.
If the traffic light indicator is red (off), all stock item budgets are displayed.

Add Stock Item

Use the Add button to:
  • Add a new stock item budget.
  • Open the stock lookup.
  • Select one or more stock items at the same time.

Remove Stock Item

Use the Delete button to remove the currently selected stock item budget line.

Budget on Stock Type

Select this option to create or view budgets for stock types.

Stock Type

Allows you to filter the Budget Grid by stock type using the drop-down list.
If no filter is applied, all stock type budgets are displayed.

Add Stock Type

Use the Add button to create a new budget line.
Focus on the Stock Type field and press F4 to select the required stock type.

Remove Stock Type

Use the Delete button to remove the currently selected budget line.

Refresh

Use the Recalculate button to update the Budget Grid using the selected filters and search criteria.

Budget Grid

The Budget Grid displays both budgeted and actual sales information.

Stock / Stock Type

Displays either:
  • The stock description, or
  • The stock type
Depending on the selected budget mode.

Date From

The start date of the budget period.
Enter the date manually using the format:
dd/mm/yyyy

Date To

The end date of the budget period.
Enter the date manually using the format:
dd/mm/yyyy

Budget Qty

The quantity of stock you expect to sell during the budget period.

Budget Val Unit

The expected selling price per unit.

Budget Val Total

The expected total sales value.
Calculated as:
Budget Qty × Budget Val Unit

Act Qty

The actual quantity sold during the budget period.

Act Val Unit

The average selling price achieved across all sales during the budget period.

Act Val Total

The actual total sales value achieved.
Calculated as:
Act Qty × Act Val Unit

Qty Diff

The difference between:
  • Budgeted quantity, and
  • Actual quantity sold.
This helps identify whether sales volumes are above or below target.

Val Diff

The difference between:
  • Budgeted sales value, and
  • Actual sales value.
Calculated as:
Budget Val Total - Act Val Total
This allows you to measure financial performance against the original budget.

Important Note

All budget and actual values shown within the Budget Grid are GROSS values.

Context Menu

Apply Value Range

Use Apply Value Range to apply the same value to all selected records within the current column.

Clear Selection

Removes the selection from the currently highlighted row or rows.

Using Budgets Effectively

Budgets can be used to:
  • Measure product performance.
  • Compare actual sales against targets.
  • Monitor stock categories or ranges.
  • Support purchasing decisions.
  • Improve forecasting accuracy.
  • Identify underperforming or overperforming products.
By reviewing budget variances regularly, you can quickly identify opportunities for growth and take action where sales performance differs from expectations.
