How To: Automatically add an item once when adding several stock items

Introduction
Up Sell items can be configured to automatically appear when specific products are added to a Sales Order. In some cases, you may want to limit how many times the Up Sell item can be added.
For example, if an instruction leaflet is linked to several products on the same order, you may only want one leaflet to be added rather than one for each qualifying item.
Using the Max Qty/SO setting allows you to define the maximum quantity of an Up Sell item that can be added to a single Sales Order.
Configure a Maximum Up Sell Quantity
- Open a Stock screen.
- Load the stock item that will trigger the Up Sell when added to a Sales Order.
- Open the Stock | Detail | Up/Cross Sell tab.
- Press Alt + E or select Edit to enter edit mode.
- Press F3 or select Add to add the item you want to offer as an Up Sell.Examples include:
- Instruction leaflets
- Accessories
- Warranties
- Related products
- Tick the Up Sell checkbox.
- Enter the quantity to be offered in the Qty column.
- If required, enter an alternative selling price.Note: If the Sell Price is set to 0.00, the item's standard selling price will be used and displayed as the List Price in the Up Sell prompt.Any alternative price entered may be treated as either Net or Gross depending on the settings in System Values | Sales | Pricing.If the item should be added free of charge, tick the Free Item checkbox.
- Tick the Auto Add checkbox if the item should be added automatically when the Up Sell criteria are met.
- Enter the maximum quantity that can be added to a Sales Order in the Max Qty/SO column.
- Press Ctrl + S or select Save.
The Up Sell item will now be limited to the quantity specified, regardless of how many qualifying products are added to the order.
Example
A business sells several products that require the same instruction leaflet.
Without a maximum quantity limit:
- Product A adds one leaflet.
- Product B adds one leaflet.
- Product C adds one leaflet.
The Sales Order would contain three leaflets.
With Max Qty/SO set to 1:
- Product A adds one leaflet.
- Products B and C do not add any additional leaflets.
The Sales Order contains a single leaflet, reducing duplication and keeping the order tidy.

Additional Information
- The Max Qty/SO limit applies per Sales Order.
- The limit applies regardless of how many qualifying stock items are added to the order.
- Auto-added Up Sell items can still be controlled by pricing, quantity and free-item settings.
- This configuration applies to all customers.
Note: If you need different Up Sell behaviour for specific customer groups, consider using a Keycode that is restricted to a particular customer classification.

- Use quantity limits for documentation, promotional items and free accessories.
- Review Auto Add settings regularly to avoid unnecessary items being added to orders.
- Test the configuration on a sample Sales Order before applying it across a large product range.
