How To: Use the Feedback Tab when using Quickbooks

The Export tab within the QuickBooks Integration screen allows you to monitor information being sent from Khaos Control to QuickBooks, review successful exports, and identify any records that failed to export.
The screen is divided into three sections:
  • Pending Export to QuickBooks
  • Exported to QuickBooks
  • Feedback on Problems

Pending Export to QuickBooks

The top grid displays information that is waiting to be exported to QuickBooks.
Items remain in this grid until they are successfully exported or manually marked as exported.

Marking Items as Exported

If you do not want specific records to be sent to QuickBooks, you can manually mark them as exported.
To do this:
  1. Green-select the required rows in the grid.
  2. Right-click one of the selected rows.
  3. Select Mark as Exported.
The selected records will move to the Exported to QuickBooks grid and Khaos Control will no longer attempt to export them.
Important
Marking an item as exported does not send it to QuickBooks. It simply prevents Khaos Control from exporting that record.

Exported to QuickBooks

The middle grid displays information that has been successfully processed by the export routine.
This grid shows:
  • The type of record exported, such as:
    • Company
    • Invoice
    • Stock Item
  • The export date
  • Whether QuickBooks has received and processed the record
A tick displayed against the record indicates that QuickBooks has seen the exported information.
Note
If an item was manually marked as exported from the Pending Export grid, it will appear in this section but will not show a tick. This indicates that Khaos Control has recorded the item as exported, but QuickBooks has not received it.

Viewing an Exported Record in QuickBooks

To open an exported record in QuickBooks:
  1. Green-select the required row in the grid.
  2. Right-click the selected row.
  3. Select Goto QuickBooks Document.
Khaos Control will open the corresponding record in QuickBooks where available.

Feedback on Problems

The bottom grid displays any issues encountered while exporting information to QuickBooks.
This section can help you identify records that could not be exported successfully and understand why the export failed.

Example Errors

You may see messages indicating that:
  • A Sales Invoice could not be exported because a Stock Item does not exist in QuickBooks.
  • A customer record could not be matched.
  • Required information is missing from the record being exported.
  • Validation rules in QuickBooks have prevented the export.
Reviewing this grid regularly can help ensure your Khaos Control and QuickBooks data remain synchronised.

Tips

  • Check the Pending Export grid if expected information has not appeared in QuickBooks.
  • Review the Feedback on Problems grid for any export errors.
  • Only use Mark as Exported when you intentionally do not want a record to be sent to QuickBooks.
  • Use Goto QuickBooks Document to quickly confirm that exported records have been received successfully.
