How To: Delete a Company Class

Introduction
Company Classes help categorise customers and suppliers within Khaos Control. If a Company Class has been created in error and has not yet been used, it can be removed from the system.
Once a Company Class has been assigned to a company record, it cannot be deleted. In these situations, there are alternative ways to retire the class without affecting existing records.
Prerequisites
Before deleting a Company Class, ensure it has not been used against any customer or supplier records.
Steps
- Open a System Data screen.
- Double-click [ Company | Company Classes ].
- Press Alt + E or click the Edit button to enter edit mode.
- Select the Company Class you want to delete.
- Click the Delete button.
- When the confirmation message appears, select Yes.
- Press Ctrl + S or click the Save button to save your changes.
When a Company Class Cannot Be Deleted
Once a Company Class has been used, Khaos Control prevents it from being deleted. This helps preserve data integrity and ensures historical records remain accurate.
If you no longer need a Company Class, consider one or both of the following options.
Option 1: Rename the Company Class
Rename the Company Class so that it appears at the bottom of selection lists.
For example:
- ZZOldTrade
- ZZOldRetail
- ZZUnused
This makes it clear that the class is no longer in use while retaining historical data.
Option 2: Use Search Exclude
Tick the Search Exclude option against the Company Class.
When enabled:
- Customers assigned to that Company Class will be excluded from standard customer searches.
- The records will only appear when that Company Class is specifically selected and the filter is applied.
This can help keep search results cleaner while preserving existing customer records.
Additional Information
- Company Classes that have been used by customer or supplier records cannot be deleted.
- Renaming and excluding unused classes is the recommended way to retire old classifications.
- Removing unused Company Classes can help keep lists easier to manage and reduce the risk of users selecting the wrong class.
