Extended Stock Descriptions

Extended Stock Descriptions allow you to store additional information against a stock item. They are commonly used when extra details need to be included on sales or purchase documents, such as customer-specific requirements, colours, finishes, special instructions, or supplier notes.
Extended Stock Descriptions can be added automatically or manually, depending on how your system is configured.
Extended Stock Description Priority
When Khaos Control determines which Extended Stock Description to use, it follows a hierarchy. Higher-priority descriptions will override lower-priority descriptions.
1. Customer or Supplier Extended Stock Descriptions
Customer- and supplier-specific descriptions have the highest priority.
These can be used when:
- A particular customer requires specific wording when purchasing an item.
- A supplier requires special purchasing instructions for an item.

If no customer- or supplier-specific description exists, Khaos Control will use the description stored against the stock item.
These descriptions are typically used to provide additional information that should appear whenever the stock item is included on a sales or purchase document.

3. Manually Entered Extended Stock Descriptions
Users can manually enter or edit an Extended Stock Description directly on a document line. These descriptions can be used to add one-off instructions or order-specific information.
Manual descriptions can be added from the following areas:
- Sales Orders, Proformas, Quotations and Credit Notes
- Sales Returns Credit Notes (when Copy Extended Descriptions is enabled)
- Purchase Orders
- Supplier Returns (see How To: Create a Supplier Return)
- EPOS
When to Use Extended Stock Descriptions
Extended Stock Descriptions are particularly useful when:
- Products require customer-specific wording.
- Additional manufacturing or finishing instructions need to be printed on documents.
- Supplier-specific purchase instructions are required.
- Sales staff need to add one-off notes to individual order lines.
- Additional information should appear on quotations, sales orders or purchase orders without changing the stock item's standard description.

- Extended Stock Descriptions provide supplementary information and do not replace the standard stock description.
- Different descriptions can be maintained for customers, suppliers and stock items.
- The description applied to a document depends on the hierarchy outlined above.
- Manual descriptions can be added when order-specific instructions are required.
