How To: Reconcile Global-E Payments via Import

By creating a Global-E Bank Account in Khaos Control and importing your Global-E transaction export, you can reconcile payments quickly and accurately.
The reconciliation process automatically matches Global-E transactions against banked payments in Khaos Control using the Global-E order reference, transaction date and payment amount.

Performing the Global-E Reconciliation

Prepare the Global-E Export

  1. Export your transactions from Global-E.
  2. Open the exported file in Excel.
  3. Save the file as a CSV (.csv) file.
The file is now ready to be imported into Khaos Control.

Import and Match Transactions

  1. Select the Global-E bank account from the Bank Account drop-down list.
  2. Click Go.
  3. Press Alt + E or click Edit to enter edit mode.
  4. Open the Other Actions menu by:
    • Pressing F9, or
    • Clicking the drop-down arrow next to the green Add button.
  5. Select:
Import → Match Global-E CSV Payments...
  6. Browse to and select the Global-E CSV file.
  7. The Match Global-E CSV Payments dialog will open.
  8. Khaos Control will process each transaction and attempt to match it against existing banked items.

Matching Criteria

The system matches using:
  • Global-E Order Number
  • Transaction Date
  • Transaction Amount
The Global-E Order Number is stored within Khaos Control as the Ass. Ref. (Associated Reference) field in the bank account transaction grid.
If all values match successfully, Khaos Control will automatically tick the Recon checkbox.
Important
The order number contained within the Global-E CSV file must exactly match the value stored in the Ass. Ref. field.
  1. Press Ctrl + S or click Save.
  1. Complete the bank reconciliation as normal.
For further guidance, see:

After Reconciliation

Once reconciliation has been completed, you may need to account for Global-E fees and settlement transfers.

Recording Global-E Fees

There are two common approaches.

Option 1: Create a Supplier Invoice

If you require an invoice for the fees charged by Global-E:
  1. Raise an invoice against your Global-E supplier account.
  2. Allocate the expense to the Global-E Fees nominal account.
  3. See:
  4. Pay the supplier from the Global-E bank account.
This reduces the balance held within the Global-E account.

Option 2: Post a Journal

If an invoice is not required:
  1. Create a journal between:
    • The Global-E Fees nominal account.
    • The Global-E bank account.
  2. See:

Transfer the Settlement Amount

After processing fees:
  1. Review the remaining balance in the Global-E bank account.
  2. The remaining balance should match the amount transferred by Global-E into your main bank account.
  3. Journal the value from the Global-E bank account to your current account.
  4. Once completed, the Global-E bank account should reconcile to zero for the selected date range.

Troubleshooting

After importing the CSV file, Khaos Control will display a summary of any transactions that could not be matched automatically.
Common reasons include:

Order Not Found

The order number in the CSV file does not match the corresponding Ass. Ref. value stored in Khaos Control.

Already Reconciled or Date Mismatch

The transaction:
  • Has already been reconciled, or
  • The transaction date does not match the corresponding record in Khaos Control.

Amount Mismatch

The transaction value in the CSV file differs from the value recorded within Khaos Control.

Tips

  • Always save the Global-E export as a CSV file before importing.
  • Ensure the Global-E order reference is stored correctly within Khaos Control to maximise automatic matching.
  • Reconcile transactions regularly to simplify fee postings and settlement transfers.
  • Investigate skipped transactions before completing the reconciliation process.
