Tracking Keycodes

Keycodes can be used to track the following promotions:
- Keycodes
- Catalogues
- BOGOF
- Price Lists
- Telesales Prompts
The following option can help ensure that all sales orders have a keycode attached to them, allowing promotions such as catalogue sales to be reported on.

[ System Operations | Edit System Values | Options | Order Display ]
.
Note: if there are no active keycodes listed against a customer and auto use last keycode and keycode required are enabled then unless the user enters a new keycode, they will not be able to save the sales order.
Note:
- In order to report on any promotions using keycodes they MUST be entered on the
[ Sales Order | Detail | Additional ]
tab. However it is only possible to enter one keycode per sales order. - The customer's record in their
[ Customer | Detail | CRM | Key Code ]
tab is updated with the keycode information when the sales order has been saved.
Promotions
Keycodes
Keycodes can be used for:
- Adding free or reduced price items and free or reduced delivery charges to a sales order. The keycode must be added to the sales order for the options and prices to be enabled. These can then be analysed in great detail in Sales Summary at a later date.
- Counters for tracking mailing promotions.
Catalogues
Keycodes are used with catalogues as follows:
- In the
[ Promotions | Catalogue ]
tab: a catalogue can have a keycode added. This is used to track catalogue requests as the keycode that generated interest in the catalogue, see How To: Identify Catalogue Requests that have not resulted in a sale. - In the
[ Promotions | Keycodes ]
tab: a keycode can have a catalogue added. This ensures that prices for a specific catalogue are used when customers quote the correct Keycode and/or to record customer response to a specific catalogue.
Notes: if wanting to use the [ Catalogues | Catalogues ]
report in Sales Summary then the following procedures must be followed:
- The catalogue must be attached to a Keycode which has been recorded against a customer and issued in Catalogue Requests and
- The Keycode and catalogue must be used on a sales order and
- Must be within the specified date range on the filter (if used).
BOGOF
Keycodes can be added to BOGOFs and the resulting sales can then be tracked.
Price Lists
Once a price list has been created it can be attached to a keycode in the keycode screen. This allows any sales that have used a price list attached to a keycode to be tracked.
Note: normally a price list has to be added to the customer's record in their [ Customer | Detail | Structured Pricing ]
tab. However, if a keycode is used with a price list and the keycode is applied to a sales order, the customer will be able to benefit from the price list even though it may not have been added to their record.

Telesales Prompts
Telesales Prompts can be used to apply a keycode as well as be prompted by the addition of the keycode in the [ Sales Order | Detail | Additional ]
tab.
