How To: Enter a multi line SP Ledger entry

Creating a multi-line SP Ledger entry is useful where an entry needs to be broken down. For example an entry may need to be posted against either multiple nominals and/or multiple VAT rates. This can be as a result of a new SP Ledger entry or from an existing SP Ledger entry.

  1. Open an Accounts screen (show me how).
  2. Go to the SP Ledger tab.
  3. For a New Entry
    1. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
    2. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
    3. Use the Lookup dialog box to locate the customer/supplier that you wish to post an invoice transaction against.
      Note: The supplier checkbox is used to toggle between customers and suppliers.
    4. A new row is added to the grid for the selected customer/supplier.
  4. Or alternatively Duplicate an Existing Entry
    1. Tick the 'Show All' checkbox.
    2. Press the "Go" button and locate the existing transaction for the customer / supplier.
    3. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
    4. Click on the BtnSPDuplicateRow.jpgbutton to copy the transaction details.
      Notes:
  1. This duplicates the original entry and also the multi-lines.
  2. If the invoice date is today's date then a warning message will appear.

Create the Multi-Line Entry

  1. Click on the BtnMultilineSPLedger.jpg Multi-line Button.
  2. Click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right or press F3 in the lower grid to add a new line for each entry required and edit the following details as required.
    VAT: the VAT rates as defined in System Data. Use the "Exempt" VAT Rate if you do not wish the system to attempt to reclaim VAT. When entering a VAT invoice issued in another EC state, you should be prompted to confirm that VAT can be reclaimed.
    N/C: nominal account to post entry against.
    Classification: the nominal classification.
    Gross: the amount including tax.
    Net: the amount without tax.
    Tax: the total amount of tax based on either the Net or Gross depending on the amount entered and the rate of VAT.
    Description: optionally can be used to describe what the invoice was for.
    Keycode F8: here the user can attach keycode costs to a specific keycode, allowing them to see how much has been spent on an individual campaign. The "Invoice Costs Net" field, which can be found on the [ Promotion | Keycodes ] tab will display the cumulative costs.
  3. Click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right or press F3 in the lower grid to add new lines and amend them accordingly.
  4. The amounts in the lower grid (Gross, Net and Tax) will be auto-calculated and entered into the appropriate columns in the upper grid.
  5. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the transaction.
