Stock Customisation

Stock Customisation is not enabled by default.

Note: there will be additional costs involved if this option is enabled.


Stock customisation allows users to define attributes against stock items assigned to sales orders, for example embroidering a name on a jumper or tee-shirt, embossing a baby's name and date of birth on a photo album or adjusting garments to fit customers.

Stock Customisation needs to be used with Works Orders which allow the user to state which process needs to be carried out while a sales order is being processed in the Sales Invoice Manager.

The areas of the system that are affected by stock customisation are:

  • Stock - the setting up of CUSTOM stock items.
  • Sales Orders - defining the customisation for example adding logo, engraving.
    Note: the templates are also setup in sales orders.
  • Sales Invoice Manager - orders are held in Processing, job sheets can be printed listing the details of the customisation. Once the customisation has been completed the orders can be processed as normal.

Setup

System Data

In System Data add new stock types as follows for customisation:

  1. Stock Type level 1: Stock Customisation
  2. Stock Type level 2 linked to above level 1 Stock Type: Customisation
    Note: do not use the square brackets [] when setting up the stock types as this will prevent them form working correctly.

Customisation Templates

  1. Open a [ Sales Order | Detail | Main ] tab.
  2. Right click in the grid and select Customisation - Set-Up Templates.
  3. Press Ctrl+N or click the New item icon is the button bar's NEW button .
  4. Add a Template Name at the top of the screen.
  5. Click on the New item button button above the pane on the left.
  6. Enter the section name, for example Print, Embroidery, Alteration etc.
  7. Focus on the Section name and Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  8. Add a field name, for example Logo 1, Logo 1 Position etc.
  9. If there are going to be multiple items, for example a football strip, then tiock the Items? checkbox.
  10. Press F4 and select the type of option required:
    1. CHOICE - will provide a list for the user to select one item from..
    2. FILENAME - allows the user to locate a filename and add the filename and path to the
    3. INTEGER - a whole number.
    4. NUMBER - number including decimal places.
    5. TEXT - creates a free text field.
    6. YES/NO - allows the user to enter yes or no by ticking a checkbox.
  11. Double-click on the dark grey Choices field and fill in the options as required:
    1. Cost:
      1. No cost: there is no additional cost for adding this option.
      2. Fixed cost: there is a standard additional cost for adding this option.
      3. Depends on choice: there is additional costs depending on the option selected, for example one colour £1, two colours £2 etc.
    2. Options:
      1. Field is required: the user must select or enter an option for this field.
      2. Prints on report: must be ticked for the option to be displayed on the report.
      3. Fixed cost: the standard cost is entered here when the fixed cost option is selected above.
    3. Choices: used to add the choices if CHOICE was selected:
      1. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
      2. Enter the name of the choice.
      3. Click on Ok.
      4. If Depends on choice option was selected above then in the next popup enter the amount that choice will cost, then click on Ok.
      5. Click on Ok to close the popup.
  12. Add the rest of the sections and options.
  13. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

Customisation Stock Item

  1. Open a Stock screen (show me how).
  2. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  3. Change the stock code so that it starts CUSTOM_ for example CUSTOM_EMBROIDERY or CUSTOM_JUMPER.
  4. Set the level 2 stock type to Customisation.
  5. Select the Template Name in the Customisation Template drop down in the Pricing section.
  6. In the Options screen untick Stock Controlled.
  7. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

Using Customisation

  1. Open a Sales Order screen (show me how).
  2. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  3. Add the stock items to the order.
  4. Focus on the item and right click in the grid and select Customisation - Define.
  5. Select the customisation template item.
  6. In the next popup select the options and add the selections as required.
  7. A Production Job Sheet can be created from here or using the context menu option.
  8. Click on Ok.

Note: it is possible to move Customisation from one section to another in one click.
