How To: Create a BOGOF

Users need to add ALL the BOGOF items to the sales order in order for the offer to take effect, for example, if the offer is Buy Two get One Free all three items need to be added to the sales order. This can be likened to the BOGOF offers in the supermarket where all the items, including the free or discounted items, need to be taken to the till for the offer to be triggered. B.O.G.O.F.'s can also be copied to a new B.O.G.O.F., see How To: Copy an existing BOGOF.

  1. Open a Promotion screen (show me how).
  2. Open the [ B.O.G.O.F ] tab.
  3. Ensure that the checkbox to the left of the upper Triggers grid is ticked.
  4. Press Ctrl+N or click the New item icon is the button bar's NEW button .
  5. Add the description.
  6. Update the date range if the BOGOF is only valid for a particular date range or tick the Always Active checkbox if the BOGOF is going to always be available for use.
  7. If the BOGOF is linked to a Keycode, select the Keycode from the drop down list.
  8. Tick the Always Active checkbox if you want the BOGOF to be active immediately. Leave this checkbox unticked if you want the promotion to be active from the specified start date.
  9. If the BOGOF is going to be available on the website leave the Web checkbox ticked, else untick it.
  10. If the BOGOF is going to be available for manually created sales orders leave the MOTO checkbox ticked, else untick it.
  11. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  12. Add the trigger item or items, either:
    1. For the offer to be triggered by individual stock items press the F8 key; or
    2. For the offer to be triggered by level 2 Stock Type, focus in the Stock Type column, press the F4 key and select the level 2 Stock Type from the list.
      Notes:
      1. You must add either a stock item or a stock type.
      2. Defining more than one trigger line on a BOGOF will NOT result in an offer only being triggered when ALL of the trigger items (and their quantities) are ordered. If you wish to setup a BOGOF with more than one trigger line then see Telesale Rules .
  13. Add a specific customer or group of customers using Company Class:
    1. For a specific customer press the Ctrl+F8 keys and select the customer from the lookup; or
    2. For a group of customers, focus in the Company Class field, press the F4 key and select the Company Class from the list.
      Note: you do not have to enter a URN or Company Class, leave the URN blank and the Company Class as Unknown.
  14. Add the quantity needed to trigger the BOGOF in the Qty column.
  15. Add a Unit Price per item.
    Note: this is only used when there are other discounts that could be applied to the stock item that will disqualify the customer from the BOGOF. If the Unit Price is 0.00 the unit price trigger will not take effect.
  16. Tick the 1 offer only checkbox if users can only select one offer item from the list of offer items if they buy the trigger item(s).
  17. Tick the checkbox to the left of the lower Offer Items grid.
  18. Press F3 or click the NEW ITEM button has an icon that shows two sheets of paper (identified by having the top right corner folded down), arranged diagonally on the icon from top left to bottom right to add a new item.
  19. Select the offer item from the stock lookup.
  20. Add the quantity of items to be given away or reduced in the Qty column.
  21. Add the discount amount that is to be applied to the item's price as a percentage in the Disc Proportion% column, for example:
    100% = free
    50% = half price
  22. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save.

Notes:

  • If you want to run a promotion for a limited number of stock items then either:
    BOGOFs need to be configured for every possible combination; or
    the stock items need to belong to the same stock type.
  • Attaching a keycode to BOGOF allows it to be tracked, see Tracking Keycodes.
  • If you want to set up a promotion where a customer buys two items from a pre-selected range of products (for example, 15 toys) and wants to get one of those of items free-of-charge (or at a reduced price), see Telesale Rules examples.
  • Pack child items are exempt from being trigger items in BOGOFs, for example a pack (HEADER1) containing CHILD1 and CHILD2 setup in a BOGOF giving 10% off when adding two x CHILD2. If you then add the pack to an order and CHILD2 as a separate item, the CHILD2 in the pack will not count as one of the 2 items needed to trigger the BOGOF.
