How To: Import Information from Quickbooks

When Khaos Control is integrated with Quickbooks, users are prevented from creating payments for account customers or suppliers within Khaos Control itself, as this must be done from within Quickbooks. Once payments are created in Quickbooks, they can then be imported, created and allocated back in Khaos Control to ensure that the accounts are accurate and up to date. This is a two-part process; firstly the payments must be downloaded from Quickbooks, and then they will need creating and allocating in Khaos Control.

Downloading Payments from Quickbooks

  1. Open an Accounts screen (show me how).
  2. Press F9 or clicking the down arrow immediately to the right of the to open the 'Other Actions' menu.
  3. Select "Xero Integration" from the "Other Actions" menu.
  4. Click on the 'Actions' button.
  5. Select [Sync] Upload Data.


Once the payments have been downloaded, they will appear in the Payments Imported from Quickbooks grid under the Import tab with a status of 'Not Processed'. This means that the payment has not yet been created or allocated in Khaos Control.

Creating and Allocating Payments

  1. Open an Accounts screen (show me how).
  2. Press F9 or clicking the down arrow immediately to the right of the to open the 'Other Actions' menu.
  3. Select "Xero Integration" from the "Other Actions" menu.
  4. Click on the 'Actions' button.
  5. Select [Sync] Upload Data.


Once this step has been completed, the status of the payment line in the Payments Imported from Quickbooks grid will be updated to 'Payment Created and Allocated, and the payments will be created and allocated to the related invoices in Khaos Control. The company statements and the relevant bank accounts will also be updated with the payments.
