Accounts Other Actions Menu

Overview
The Other Actions menu within Accounts provides quick access to a range of accounting, auditing, reporting and reconciliation functions.
You can open the menu by:
- Pressing F9, or
- Clicking the drop-down arrow immediately to the right of the green New button on the toolbar.
The options available may vary depending on your system configuration and enabled features.
Available Options
Stock Received Not Invoiced Report
Opens the Goods Received Not Invoiced Breakdown window.
This report displays delivery notes where stock has been received but the corresponding supplier invoice has not yet been processed.
Note: This option is only available if it has been enabled in System Values | Accounts | General | General.
Accounting Periods
Opens Accounting Periods.
This allows you to manage accounting period close-down procedures.
Whilst many businesses perform year-end close-downs only, accounting periods can also be managed monthly to provide tighter financial controls and reporting accuracy.
Accounts Clear Down (Year End)
This process:
- Clears all Profit and Loss nominal balances.
- Transfers the resulting balance to the Retained Earnings nominal account.
- Performs the year-end accounting close-down process.

Nominal Account Budget
Opens the Nominal Account Budget window.
You can use this feature to:
- Set monthly budget values against nominal accounts.
- Define expected expenditure and income targets.
- Compare actual performance against budgeted values within Profit and Loss reporting.

Deferred COS Posting
Opens Deferred COS Posting.
This option allows Cost of Sales (COS) entries to be posted as a controlled period-end process rather than being created automatically when sales invoices are posted.

Xero Integration
Opens the Xero Integration configuration screen.
This allows you to configure and manage the connection between Khaos Control and Xero.
Note: This option is only visible if Xero integration has been enabled in System Values | Accounts | General | General.
Import Options
The Import submenu contains tools used to reconcile payments from external platforms.
Match Amazon CSV Payments
Imports Amazon settlement data and reconciles payments against Khaos Control transactions.

Imports Shopify payment exports and performs payment reconciliation.

Match Global-E CSV Payments
Imports Global-E payment files and reconciles the transactions.

Match PayPal CSV Payments
Imports PayPal payment exports and performs payment reconciliation.
PayPal payments can also be reconciled using the Bank Import process.

Imports BrainTree payment files and matches transactions against Khaos Control records.

Audit Options
The Audit submenu provides access to various auditing tools used to review system activity and financial transactions.
Audit Trail for Journals
Opens the Audit for Nominal Journals window.
Use this option to review and audit journal transactions posted within Khaos Control.
Audit General Actions
Opens the Audit for General Actions window.
This audit records system-wide actions and operational activity carried out by users.
Audit System Data
Opens the Audit Log.
The Audit Log allows you to review changes made to records after they have been saved, including:
- Sales Orders
- Purchase Orders
- Quotations
- Proforma Orders
- Credit Notes
- Invoices
- System Data records
- Other supported Khaos Control documents
This provides a detailed audit trail showing what changes were made and when they occurred.
Additional Information
- Some menu options are only displayed when the related functionality has been enabled within System Values.
- User permissions may affect which options are available.
- The Other Actions menu provides access to administrative and accounting functions that can affect financial data, so access should be granted appropriately.
- Audit tools can be useful for investigating discrepancies, reviewing changes and supporting compliance requirements.
