Promotion BOGOF Tab

This screen enables BOGOF offers to be set up and maintained in Khaos Control, see How To: Create a BOGOF. A keycode can be attached to a BOGOF allowing it to be tracked, see Tracking Keycodes.

Notes:

  1. BOGOF items will NOT APPEAR automatically on a sales order, if users feel that they need to be aware of when a BOGOF item is available a telesales prompt can be created that appears when trigger items are added to a sales order. However, if a telesales prompt was set up in addition to a BOGOF it would be maintained separately from it. (Therefore, ensure that the prompt only applies for the same period as the BOGOF).
  2. The lower grid is activated so items can be added to it by ticking the checkbox to the left of it.
  3. Pack child items are exempt from being trigger items or offers in BOGOFs. For example a pack (HEADER1) containing CHILD1 and CHILD2 setup in a BOGOF giving 10% off when adding two x CHILD2. If you then add the pack to an order and CHILD2 as a separate item, the CHILD2 in the pack will not count as one of the 2 items needed to trigger the BOGOF.
  4. Test all BOGOFs on your Testing system to ensure that they work as you intend.
  5. BOGOF offers will only apply to a single Sales Order Line; therefore, if multiple instances of the same Stock item are added to a Sales Order, the BOGOF will only apply to the Sales Order line which triggered the offer to apply to the Sales Order; if multiple free items are required as part of a BOGOF (i.e. if 6 items are bought, 3 items are free) then the Sales Order should only contain one line for that particular Stock item.

The screen is divided into three sections:

Top Fields

Top fields in the BOGOF screen

  • Description: BOGOF description.
  • Date From/Date To: date BOGOF applies from/to.
  • Keycode Checkboxes: the Keycode(s) that the BOGOF applies to. A keycode will restrict the customers that can use the BOGOF. Multiple Keycodes can be selected using the checkboxes and the BOGOF will only be available to customers who quote any of the selected keycodes when ordering.
  • Always Active check box: marks the BOGOF as always active (i.e. overrides the date from and to fields).
  • Web (default=ticked): flags whether the website is going to use the BOGOF.
    Note: this is used as a flag only and Khaos Control does NOT use this automatically. If you require promotions to be available on your website, you will need to ensure your website implements them using information from a Khaos Control integration or manually replicates the details of any / all promotions you require.
  • MOTO (default=ticked): when MOTO (Mail Order Telephone Order) is ticked against a BOGOF, it will be active and the discount can be used in a Sales Order. If unticked, the BOGOF discount cannot be applied to the sales order.

Triggers Grid

Contains the individual item or items in a specified Level 2 Stock Type that have to be purchased by the customer in order to qualify for the BOGOF.
Note: Defining more than one trigger item line on a Bogof will NOT result in an offer only being triggered when ALL of the trigger items (and their quantities) are ordered. If you wish to setup a BOGOF with more than one trigger line then see Telesale Rules .

  • Stock Code: stock item's code, this is required if the BOGOF is to be triggered by a single item.
  • Stock Type: level 2 type, this is required if the BOGOF is to be triggered by a group of products.
  • URN: customer's URN. When entered this is used in combination with the Stock Code/Stock Type values to limit the BOGOF to a single customer.
  • Company Class: group of customers that will qualify for the BOGOF. If entered this is used in combination with the Stock Code/Stock Type fields to limit the BOGOF to a single customer classification.
  • Qty: number of items the customer must order to qualify for the BOGOF.
  • Unit Price: the price per item that must be paid in order for the customer to qualify for the BOGOF " only used when there are other discounts that could be applied to the stock item that will disqualify the customer from the BOGOF. If the Unit Price is 0.00 the unit price trigger is not in effect.
  • 1 offer only (default=ticked):
    • TICKED: multiple items can be added to the lower offer items grid but the customer will only be entitled to the discount once the items are added to a sales order. If more than one item from the offer items grid is added, then the discount will be applied to the first item added if the BOGOF trigger has been reached. If the trigger item quantity is increased then the discount will be added to the the next offer item if one has been added. The discount will not be applied to the cheapest item.
    • UNTICKED: the contents of entire offer grid can be added at the discount rate.

Triggers Grid Context Menu

  • Goto Stock Item...: opens the [ Stock | Detail | Properties ] for the selected stock item.
  • Goto Customer...: opens the [ Customer | Detail | General ] for the customer the user is currently focused on.
  • Apply Value Range...: used to set a value for the line(s) / column selected.
  • Clear Selection: deselects the currently selected line(s).

Offer Items Grid

Contains the items to be given away/reduced when the BOGOF is triggered.

  • Stock Code: stock item's code.
  • Stock Description: stock item's description.
  • Qty: number of items to be given away/reduced.
  • Disc Proportion%: discount amount that is to be applied to the item's price as a percentage, for example:
    100% = free
    50% = half price

Offer Items Grid Context Menu

  • Goto Stock Item...: opens the [ Stock | Detail | Properties ] for the selected stock item.
  • Apply Value Range: allows the user to specify a value that is to be applied to all of the currently selected rows/items for the current column.
  • Clear Selection: deselects the currently selected line(s).
