Scheduled Shipments Subscription Tab


Scheduled Shipments is not enabled by default.

The Scheduled Shipments Subscription screen shows the detail for a the loaded subscription. The screen consists of two areas:

  • Subscription Information
  • Subscription Items and Attachments


Subscription Information Area

  • Code: the subscription code which is generated by the user who created the subscription.
  • Join button is scheduled shipments subscription: this allows you to add a customer to the subscription, which in turn generates a shipment schedule. It is available when you save the subscription.
  • Description: the description of the subscription which is generated by the user who created the subscription.
  • Type: the type of subscription.
    • Scheduled Shipment:
      • This is automatically selected as the subscription type when they are created manually or from a sales order.
      • If selected as the subscription type, it behaves as a 'Fixed' type.
    • Continuity:
      • New customers join at a specified item on the list and the shipment dates remain as originally generated.
      • If a future shipment is selected as a start point, the shipments would start on the date originally specified in the subscription.
      • This could be for a set of item where issues are specific to dates, such as monthly magazines or wines of the month. As shipment dates are not recalculated, this could be used either to specify older items to catch up on back issues, or to specify future items and start shipments at the future date.
    • Fixed:
      • New customers join at a specified item on the list and the shipment dates are recalculated to start at the current date.
      • Shipments would normally start at item 1, but, if a later shipment is selected as a start point, the shipments would still start at the current date. A warning pops up stating 'item 1 is not selected as the start'.
      • This could be a fixed list of items where each customer would want them all, such as a set of coins, and they want shipping to start normally from the current date.
  • Day Of: which day of the month the shipment will be generated on.
  • Interval: the interval which the subscription is to be used:
    • Monthly
    • Quarterly
    • 6-monthly
    • Annual
    • 18-monthly
    • B-Annual
    • 3 Years
    • 4 Years
    • 5 Years
  • Base Date: the base date which transfers to any shipments which are generated from the subscription (defaults to the current date)
  • Credit Limit: the shipment will stay in the queue if a customer exceeds this credit limit.
  • Stop structured pricing checkbox: sets the stop structured pricing checkbox in the associated sales order.
  • Override Shipments: allows the order of the items to be changed using the buttons to the left of the grid.
  • Continuous: sets the shipment status after all items have been shipped.
    • TICKED: the Shipment Active checkbox will be ticked and any added items will ship.
    • UNTICKED: the Shipment Active checkbox will be unticked.
  • Apply Keycode: the keycode to be applied to any generated sales orders.
  • Invoice Priority: the invoice priority to be applied to any generated sales orders. These must already exist in the system before they are available to use here, see How To: Setup Invoice Priorities.

Subscription Items Tab

The subscription items grid lists the main items to be shipped. The headings are:

  • Stock Item:
    • Code: the stock code of the item in the subscription.
    • Description: the stock short description of the item in the subscription.
  • Qty: the quantity of the stock in the subscription for the interval defined.
  • Price: set manually on this or the shipment screen.
  • Date: required shipment date (sales order delivery date).
  • Status:
    • Attach: indicates whether there are attachments to this item to be included on the sales order to be shipped at the same time.

Note: if the Override Shipments checkbox is ticked, the arrow buttons allow the order to be changed.

Move Item Buttons

The Move Item buttons move the focused stock item up or down in the list.

  • Move the focused item to the top of the list.: Move the focused item to the top of the list.
  • Move the focused item up a line within the list.: Move the focused item up a line within the list.
  • Move the focused item down a line within the list.: Move the focused item down a line within the list.
  • Move the focused item to the bottom of the list.: Move the focused item to the bottom of the list.


Attachments Tab

The Attachments grid shows details of any items that are to be included on the same sales order as the item focused in the Subscription items tab when selecting this screen. The headings are:

  • Code: the stock code of the stock attached for the subscription focused on in the Subscription items tab.
  • Description: the stock short description of the stock attached for the subscription focused on in the Subscription items tab.
  • Qty: the quantity of the stock attached for the subscription focused on in the Subscription items tab.
  • Price: set manually on this or the shipment screen.
  • Hide: hides the selected stock item from the grid.
