How To: Print a Detailed Debtors or Creditors Report

Introduction
A detailed Debtors or Creditors report provides a more comprehensive view of outstanding balances by including the individual invoice details associated with each customer or supplier.
This report is useful when reviewing outstanding debts, chasing overdue invoices, reconciling balances or preparing information for management and finance teams.

Generate a Detailed Debtors or Creditors Report
- Open an Accounts screen (show me how).
- Open the [ Accounts | Debt Management ] tab.
- Select either:
- Debtors to report on customer balances, or
- Creditors to report on supplier balances.
- Apply any additional filters required, such as:
- Date range
- Customer Classification
- Currency
- Other reporting criteria
- Click Go to populate the grid.
- Click within the Owed column.
- Press Ctrl + U to sort the grid in descending order.This will display the customers or suppliers with the largest outstanding balances at the top of the list.
- Select the records you want to include in the report.
- Use green selection to choose specific entries.
- Press Ctrl + A to select all displayed records.
- Right-click within the grid and select:Detailed Report (Includes Invoices)
- The report will be generated and displayed on screen.
- You can then:
- Print the report.
- Save the report.
- Export the report if required.
Result
The report will include:
- Customer or supplier details.
- Outstanding balances.
- Individual invoice information.
- Supporting debt or creditor transaction details.
This provides a more detailed view than the standard Debtors or Creditors report.
Currency Information
The report is normally displayed in your Base Currency.
If you apply a currency filter before generating the report:
- The foreign currency amount will be displayed.
- The Base Currency equivalent will also be shown.
- Currency symbols are included throughout the report to make different currencies easy to identify.
This is particularly useful for businesses trading in multiple currencies.
Tips
- Sort by the Owed column before running the report to quickly identify your largest debtors or creditors.
- Apply filters to focus on specific customer groups, suppliers or currencies.
- Use Ctrl + A when you need to include all displayed records in the report.
- Review the report on screen before printing to ensure the correct records have been selected.

Typical uses include:
- Credit control and debt chasing.
- Reviewing overdue customer balances.
- Monitoring supplier liabilities.
- Reconciling account balances.
- Providing detailed information to accountants or management.
