How To: Understand the Purchase Delivery Mechanism
When you save a delivery note, Khaos Control normally processes stock immediately and assigns any available stock to outstanding back orders.
This works well in most situations. However, if you are receiving stock for products with a large number of back orders, such as seasonal items or pre-ordered book titles, saving the delivery note can take longer than usual while the system allocates stock.
Typical processing speeds range from approximately 300 to 500 back orders per minute.
To help manage this, you can delay the back order assignment process. This allows stock to be received and made available without immediately allocating it to outstanding back orders.
Note: If you are processing delivery notes containing tens of thousands of stock items, consider using the server console to eliminate any network-related performance issues.
What Happens When a Delivery Note Is Saved?
For each line on the delivery note, Khaos Control normally:
- Creates stock movements for receiving the items.
- Creates stock movements for QA processing.
- Assigns available stock to outstanding sales order back orders.
Delay Assigning Stock to Back Orders
If you want to receive stock without immediately allocating it to back orders, follow the steps below.
Step 1: Create the Delivery Note
Create your delivery note as normal, but untick the BO Rel? checkbox for the relevant lines.
By clearing this option, the stock will be booked into the system when the delivery note is saved, but it will not be assigned to outstanding back orders. This can significantly reduce processing time and free up the workstation more quickly.
Step 2: Assign Stock to Back Orders Later
Once the delivery note has been saved, you can allocate the stock using one of the following methods.
Option 1: Re-open and Save the Delivery Note
- Edit the delivery note.
- Tick the Delivery_Note_Tab#BO_Rel" target="_blank" rel="noopener noreferrer">BO Rel? checkbox.
- Save the delivery note again.
Because the stock has already been received, Khaos Control will now assign the available stock to the outstanding back orders.
Option 2: Use the Back Order (Stock Assignment) Tab
- Open the Back Orders (Stock Assignment) tab within the Sales Invoice Manager.
- Locate the back orders for the required stock item.
- Green-select the required rows.
- Click Assign_Stock_Item" target="_blank" rel="noopener noreferrer">Assign Stock Item.
The selected back orders will then be allocated available stock.
Additional Information
Delaying back order assignment can be particularly useful when:
- Receiving stock for products with a very large number of back orders.
- Processing seasonal or promotional stock.
- Handling pre-ordered products with significant demand.
- Freeing up a heavily used workstation while stock is being received.
- Managing large deliveries where immediate allocation is not required.
By separating stock receipt from stock allocation, you can keep warehouse operations moving efficiently while assigning stock at a more convenient time.
