System Data Report Profile Folders

Report Profile Folders allow administrators to control which users can view and manage specific Data Query report folders.
By creating report profiles and linking them to report folders, you can restrict access to reports based on a user's role or department. This helps ensure users only have access to the reports that are relevant to their job function.

Note: Only Admin Users can configure Report Profile Folders.

How Report Profile Folders Work

Report Profile Folders allow you to:
  • Create report access profiles for different departments or teams.
  • Link Data Query report folders to those profiles.
  • Restrict visibility of report folders within the Data Query report screen.
  • Control which users can view, edit and run specific reports.
Typical profile examples might include:
  • Marketing
  • Sales
  • Purchasing
  • Accounts
  • Customer Services
Users assigned to a profile will only see the report folders linked to that profile.

Report Profile Folders Grid

The Report Profile Folders screen contains the following fields:

Profile

The profile name created in the [ System Data | Report Profile Folders ] screen.
Examples include:
  • Marketing
  • Sales
  • Purchasing
Profiles are typically used to group users by department or business function.

Report Folder

Displays the report folders currently available within the Data Query report screen.
This field allows an administrator to link a report folder to a specific profile, ensuring users only have access to reports relevant to their role.
For example:

PurchasingSupplier Reports
MarketingCampaign Analysis

Typical Use Case

A business may create separate report profiles for different departments:
  • The Sales team can access sales performance reports.
  • The Purchasing team can access supplier and purchasing reports.
  • The Marketing team can access campaign and customer analysis reports.
By assigning users to the appropriate profile, access to Data Query reports can be managed centrally and securely.

  • Report Profile Folders are used in conjunction with Data Query security controls.
