Accounts Debt Chasing

Overview

Khaos Control includes built-in debt management functionality to help you track and recover outstanding customer balances.
Each customer can be assigned a Debt Stage, allowing you to manage where they are in your debt recovery process. Debt stages can be configured to move customers through a predefined sequence of actions, either manually or automatically, based on how long a debt remains unpaid.
Before using debt chasing, you will need to configure your debt stages and actions. For setup instructions, see How To: Setup Debt Chasing.

How Debt Stages Work

Each debt stage can be configured with:
  • A description of the action to be taken.
  • The next debt stage in the process.
  • The number of days that must pass before the customer moves to the next stage.
Customers can then be moved between debt stages:
  • Manually
  • Automatically
This provides a flexible way to manage debt recovery processes and ensure overdue accounts are followed up consistently.

Manually Changing a Customer's Debt Stage

You can manually move a customer to a different debt stage at any time.

Option 1: Customer Financial Screen

  1. Open the customer's record.
  2. Go to Customer | Detail | Financial.
  3. Select the required value from the Debt Stage drop-down list.
  4. Save the changes.

Option 2: Debt Management Screen

  1. Open Accounts | Debt Management | Debtors/Creditors.
  2. Locate the customer.
  3. Right-click and select Change Debt Stage.
  4. Choose the new stage and confirm the change.

Automatically Moving Customers Between Debt Stages

Khaos Control can automatically move customers to the next debt stage when:
  • The configured debt stage period has expired.
  • The outstanding balance has not been cleared.
This allows you to progress customers through your debt recovery process in bulk rather than updating each account individually.

Run the Debt Stage Update

  1. Open Customer | Detail | Financial.
  2. Click the lower debt chasing button to open the Debt Chase Stages Dialog.
  3. Review the list of customers eligible to progress to the next debt stage.
  4. Process the update.

How Automatic Progression Works

When the process runs, Khaos Control checks:
  • The customer's current debt stage.
  • The number of days configured for that stage in System Data.
  • Whether the outstanding debt has been cleared.
If the criteria are met, the customer is moved to the next configured debt stage.
