System Data Sites

Introduction

Khaos Control supports multiple sites, allowing stock to be managed and tracked separately for different locations within your business.
Each site maintains its own stock control records, helping you monitor stock movements, purchase orders, sales orders, and stock availability by location. For more information about working with multiple sites, see How To: Use Sites.

How Sites Work

When a site is created, Khaos Control automatically creates a stock control register for that location.
When users create purchase orders or sales orders, the site defaults to the site assigned to that user, although it can be changed if required.
The selected site determines which stock location is affected by stock movements.

Example

If two purchase orders are raised, each ordering ten desks for different sites:
  • Site A will show ten desks on order.
  • Site B will show ten desks on order.
Although the products are the same, stock quantities are tracked independently for each site.
In most stock screens, you are viewing stock for the currently selected site. The exception is Stock Movements, which displays transactions across all sites.

Common Uses for Sites

Sites are commonly used for:
  • Different warehouse locations.
  • Retail branches.
  • Distribution centres.
  • Demonstration stock.
  • Overflow stock locations.
  • Bulk storage facilities.
Some businesses also create dedicated sites for demonstration products that hold value but are not intended for sale.

Sites Grid

The Sites screen contains the following fields:

FieldDescription
Site DescriptionThe name of the site.
ContactThe primary contact for the site.
AddressThe site's address details.
TelThe main telephone number for the site.
FaxThe site's fax number.
CountryThe Country in which the site is located. Press F4 to select a country.
Monthly Max POLimits the total value of purchase orders that can be raised for the site within a calendar month. If left as 0.00, no limit is applied.

Monthly Max PO

The Monthly Max PO field can be used to control purchasing expenditure at individual sites.
If a user attempts to exceed the site's monthly purchase limit, they will be prompted for an Admin Password with the Override Maximum Monthly Purchase Limit permission.
If the value remains set to 0.00, no monthly purchasing restriction is enforced.

Sites Context Menu

The Sites screen includes several right-click options.

OptionDescription
Choose ColourApplies a background colour to the Site name displayed in the Khaos Control status bar, making it easier to identify which site you are currently working in.
Clear ColourRemoves any custom site colour and restores the default display.
Edit Delivery AddressOpens the Site PO Delivery Address window, allowing site delivery addresses to be managed.
Apply Value RangeApplies the same value to all selected records in the current column.
Clear SelectionRemoves the current selection.

Edit Delivery Address

The Edit Delivery Address option provides enhanced address management for site delivery locations.
Important: Once a site's address has been configured using the Site PO Delivery Address window, the address can no longer be edited directly in the grid. Any future changes must be made through the Site PO Delivery Address window.

Additional Information

  • Every site maintains its own stock records.
  • Users can be assigned a default site.
  • Purchase orders and sales orders update stock levels for the selected site.
  • Stock availability can vary between sites even when the same stock item exists in multiple locations.
  • Colour coding can help users quickly identify which site they are currently working in.
