How To: Add UDAs to customer records

User Defined Attributes (UDAs) allow you to define additional data fields in the Khaos Control database either for customers or stock items, for more information see User Defined Attributes (UDAs). For information on how to set up customer UDAs, see How To: Setup Company User Defined Attributes (UDAs). The steps below are for a single customer, however groups of customer records can be updated, see How To: Block Update Customer User Defined Attributes (UDAs).

Add data for a customer without existing UDA information

If the customer does not have UDAs defined against their company record then:

  1. Load the required customer record.
  2. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  3. Open the [ Detail | CRM | Free Text Notes ] tab.
  4. Display the drop-down 'Other Actions' menu either by pressing F9 or clicking the down arrow immediately to the right of the  green circle with a white cross icon at the top of the button bar.
  5. Select User Defined Attributes (UDA) from the menu.
  6. Focus on the UDA option you wish to set.
  7. On the right select or enter the value for the UDA.
  8. Click on OK.
  9. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save the change.

Add data for a customer with existing UDA information

  1. Load the required customer record.
  2. Open the [ Detail | CRM | Free Text Notes ] tab.
  3. Double click on the Value field of the UDA you wish to change and make the appropriate changes.
  4. Click on OK.

Notes

  • The UDA information for a customer can be viewed in the the customer's [ Detail | CRM | Free Text Notes ] tab.
  • You can prompt the user to select a Company UDA at the time of customer creation using the prompt checkbox when setting up the UDA in the User Defined Attributes (UDA) dialog.
  • Sales Summary can be used to filter customers and item sales based on Customer UDA values.
