Journal Templates Process List Tab
Table Of Contents
The Process List tab displays all active journal templates that are available for processing.
This screen allows you to review upcoming journals and process them when they become due. It is particularly useful for managing recurring journals such as salaries, insurance, accruals and prepayments.
The screen consists of:
- Filters to help locate specific journal templates
- Processing options
- A grid displaying the next scheduled journal for each template
Filters and Actions
Use the filters at the top of the screen to find the journal templates you want to work with.
Classification/Group
Filter the list by journal template classification.
This is useful for viewing only a particular group of templates, such as accruals, prepayments or recurring expenses.
A traffic light filter is also available for this field.
Interval
Filter journal templates by processing frequency.
For example, you can display only:
- Weekly journals
- Monthly journals
- Quarterly journals
- Annual journals

Process Journals
Use the Process button to generate journals that are due for posting.
When processed, Khaos Control creates the journal entries based on the template settings and updates the schedule accordingly.
Force Item
Tick Force Item to process a journal before its scheduled processing date.
This can be useful when:
- A journal is due during a holiday period
- Financial periods are being closed early
- Journals need to be posted ahead of schedule for reporting purposes
Use this option carefully, as it allows journals to be generated before they would normally become due.
Process List Grid
The grid displays information about the next scheduled journal for each active template.
Template Information
Classification
Displays the journal template classification.
Description
Displays the name or description of the journal template.
This helps identify the purpose of the journal.
Examples may include:
- Monthly Salaries
- Rent Accrual
- Insurance Prepayment
- Utility Charges
Started
Displays the date the journal template was first started.
Interval
Shows how often the journal is scheduled to be processed.
Examples include:
- Once
- Weekly
- Monthly
- Quarterly
- Yearly
Itv Count
Displays the total number of scheduled occurrences for the template.
This represents the number of times the journal is intended to be processed.
Itv Index
Displays the iteration number of the next journal due for processing.
This identifies the current position within the journal schedule.
Process
Displays the date on which the next journal is due to be processed.
Status
Displays the current status of the scheduled journal.
Typical statuses indicate whether the journal is:
- Due for processing
- Scheduled for a future date
- Already applied
Context Menu
Right-click within the grid to access additional options.
Clear Selection
Removes the current row selection from the grid.
This can be useful when working with multiple journal templates and you want to clear your selection before continuing.
Tips
- Review the Process List regularly to ensure recurring journals are generated on time.
- Use the Interval filter to quickly find journals due within a specific cycle, such as monthly or weekly postings.
- If journals need to be created before a holiday period or month-end close, use Force Item to process them early.
- Check the Process date before generating journals to ensure they are being posted in the correct accounting period.
