Special Offers allow you to automatically apply promotions, discounted items and free products to sales orders. They can be configured in several different ways to support a variety of promotional activities.

Common Uses for Special Offers

Special Offers can be used to:

Display promotional items on every sales order with a default quantity of 0, prompting the operator to offer the item to the customer.
Note: If the customer declines the offer and the quantity remains at 0, the Special Offer line is removed when the order is saved.
Automatically add a free item when a customer spends a specified amount.
Add an item to every sales order at a value of £0.00, such as a catalogue, leaflet or promotional gift.
Include promotional items when importing web orders through Khaos Control web services. For more information, see Special Offers to auto add items on web orders.

Note: Prices shown within this screen are displayed in the base currency, which is typically Sterling.

Special Offers Grid

The Special Offers screen consists primarily of the Special Offers grid.

Code

The stock item code for the Special Offer item.

Description

The stock item description.

Qty

The default quantity that will be added to the sales order.

This is typically set to 0 so that users can offer the item to the customer without automatically adding it to the order.

Sell Price

The promotional selling price for the stock item.

This price only applies to Special Offer order lines.

Net

Determines how the Sell Price is interpreted:

Ticked: The Sell Price is a net value.
Unticked: The Sell Price is a gross value.

Auto Add

When selected, the Special Offer item is automatically added to qualifying sales orders.

Additional Information

If Auto Add is not selected, the item will not be automatically added, but it can still be manually added to the order if required.
Auto Add items are only added when creating a new sales order.
Editing an existing sales order does not trigger Auto Add items, although manually added items can still receive any applicable promotional pricing.

One Time

When selected, the Special Offer can only be automatically added once for each qualifying customer.

Order Total

Defines the minimum order value required before the Special Offer becomes available.

The comparison is based on item totals only and excludes any delivery charges.

When an order total is entered, the Special Offer will only appear once the specified value has been reached or exceeded.

Offer Start

The date the Special Offer becomes active.

Offer End

The date the Special Offer expires.

If left blank, the Special Offer remains active indefinitely.

Active

Controls whether the Special Offer is available for use.

Tip: Clear this checkbox to temporarily disable a Special Offer without deleting it.

Brand

Use F4 to link a brand to the Special Offer.

Brand-Specific Special Offers

Brand-linked Special Offers are not automatically added to sales orders.
They are applied when qualifying branded items exist on the order and all Special Offer conditions are met.
If a stock item's brand changes during order entry due to a brand mismatch, pricing will revert according to normal pricing rules.
If the brand is changed after the order has been saved and locked pricing is enabled, the discounted price will remain.

Company Class

Restricts the Special Offer to customers belonging to a specific Company Class.

Only customers assigned to the selected Company Class will qualify for the promotion.

Web

Selected by default.

This flag indicates that the promotion is intended for website use.

Important: This setting acts as a flag only. Khaos Control does not automatically publish or apply website promotions. If promotions are required on your website, your website integration must use this information or the promotion must be replicated separately.

MOTO

Selected by default.

MOTO stands for Mail Order Telephone Order.

When selected, the Special Offer can be used on sales orders.
When cleared, the Special Offer will not be available during sales order entry.

Extended Description

Each Special Offer can include an extended description in the lower section of the screen.

This description is displayed on both:

Sales Orders
Sales Invoices

When using Basic Reports, entering a comma within the extended description creates a new line when printed on the Sales Invoice.

This can be useful when formatting promotional messages or additional offer information.

Special Offers Grid Context Menu

Right-click within the grid to access additional options.

Goto Stock Item...

Opens the selected item's [ Stock | Detail | Properties ] screen.

Apply Value Range

Opens the Apply Value Range feature, allowing the same value to be applied across multiple selected rows within the current column.

Clear Selection

Removes the current selection from the grid.
