How To: Create a Site

Introduction

Sites are used to represent the physical locations where stock is held within Khaos Control.
Adding a new site allows you to manage stock across multiple warehouses, branches or storage locations. However, because adding a site affects every stock item in the system, it must be performed carefully and at an appropriate time.

Warning

Only add one site at a time on a quiescent system (when no other users are actively using Khaos Control).
When a new site is created, Khaos Control updates every stock item in the database to include the new site. This process can have a significant impact on system performance while it runs.

Before You Begin

We recommend the following before creating a new site:
  • Ensure no other users are actively using Khaos Control.
  • Create only one site at a time.
  • Take a full system backup immediately before starting.
  • Schedule the change outside of busy trading periods where possible.

Important Notes

  • Adding multiple sites at the same time may cause the system process to time out.
  • The system may appear unresponsive for several minutes while the new site is created.
  • Performance may be noticeably slower while Khaos Control updates existing stock records.
  • If a site is created in error and has not been used, it can usually be deleted.
  • Do not delete a site that is currently in use, or has been used previously, without first contacting Khaos Control Support.

Steps

  1. Open a System Data screen.
  2. Double-click [ Stock | Sites ].
  3. Press Alt + E or click the Edit button to enter edit mode.
  4. Press F3 or click the Add button to create a new site.
  5. Enter the site name in the Site Description field.
  6. Enter the contact details and address information for the site as required.
  7. Press Ctrl + S or click the Save button to save the new site.
  8. Allow Khaos Control time to complete the update process before continuing with normal system activity.

Site PO Delivery Address

If you use the Site PO Delivery Address option from the Sites screen context menu, any purchase order delivery addresses configured there must be maintained using that same dialog.
Important:
Once a Site PO Delivery Address has been configured, it cannot be updated directly through the main Sites screen. All future changes must be made through the Site PO Delivery Address dialog.

Creating sites allows you to:
  • Track stock quantities by location.
  • Manage multiple warehouses or branches.
  • Improve stock visibility across your business.
  • Control purchasing and stock allocation processes by site.
Because site creation updates all stock records, careful planning is recommended before introducing additional sites into a live system.
