How To: Create a User Profile


Introduction

User Profiles control which screens, tabs and functions are available to users within Khaos Control. By assigning users to a profile, you can ensure they only have access to the areas of the system required for their role.
Profiles can be used to simplify the user interface, improve security and help ensure users only access the functionality relevant to their responsibilities.
Warning
Only users with System Administrator rights can create or edit user profiles.

Creating a New Profile

  1. Open a System Data screen (show me how).
  2. Right-click within the users grid and select Define Profiles.
  3. Click Yes when the information message is displayed.
  4. Click Add to create a new blank profile at the bottom of the Profiles grid.
  5. In the Profile Management dialog:
    • Enter a name for the profile.
    • Select the newly created profile.

Configure Available Screens

  1. Open the Screens tab.
  2. Drag the required screens from the Available Windows grid into the Enabled Windows grid.
  3. For each enabled screen:
    • Review the Visible Tabs settings.
    • Review the Visible Detail Tabs settings.
    • Untick any tabs that should not be available to users assigned to the profile.
This allows you to control both screen access and access to specific areas within each screen.

Configure Command Window Access

  1. Open the Command Window tab.
  2. Tick the Command Window options that should be available to users assigned to the profile.
Only selected functions will be displayed within the Command Window.

Configure Invoice Manager Access

  1. Open the Invoice Mgr tab.
  2. Tick the Sales Invoice Manager stages that should be available to users assigned to the profile.
This controls which invoice processing stages users can view and work with.

Configure CRM Restrictions

  1. Open the CRM Types tab.
  2. Tick the CRM Types that should be blocked for the profile.
Users assigned to the profile will not have access to the selected CRM Types.

Save the Profile

  1. Review all profile settings.
  2. Click OK to save the profile.
The profile is now available to be assigned to users.

Tips

  • Start with the minimum access required and add permissions as needed.
  • Create separate profiles for different job roles, such as Sales, Accounts, Warehouse and Management.
  • Regularly review profiles to ensure they continue to meet security and operational requirements.
  • Use profiles in conjunction with User Permissions to provide additional access control.
