How To: Prevent a User from Accessing Specified Screens in System Data

Introduction
You can allow users access to System Data while restricting which System Data screens they can view and use.
This is managed through User Profiles, making it possible to give users access only to the configuration areas relevant to their role. For example, a user may need access to Company Classes and Tax Rates but should not be able to access User Management or Bank Accounts.
Steps
- Open a System Data screen.
- Double-click [ System Data | Others | Users ].
- Right-click anywhere in the grid and select Define Profiles.
- When the information message is displayed, select Yes.
- In the Profile Management dialog, select the profile you want to restrict.
- Select the System Data tab.
- Tick the Block checkbox against each System Data screen that users assigned to this profile should not be able to access.
- Select OK to close the Profile Management dialog.
- Select OK again when the warning message is displayed.
How It Works
The Block option prevents users assigned to the selected profile from opening specific System Data screens.
This allows administrators to:
- Restrict access to sensitive configuration areas.
- Reduce the risk of accidental changes.
- Simplify the System Data menu for users.
- Ensure users only see the settings relevant to their role.
Important Notes
- Restrictions apply to all users assigned to the selected profile.
- Users will continue to have access to any System Data screens that are not blocked.
- Changes take effect for all users linked to the profile once the profile has been updated.
- User Profiles can also be used to control access to screens, tabs and features throughout Khaos Control.
