How To: Split out Purchase Order Lines when Consignment Quantity is less than Order Quantity

When a supplier delivers fewer items than were ordered, you can split the remaining quantity from the associated purchase order and add it to a different consignment later.
This allows you to accurately record partial deliveries while keeping the outstanding quantities available for future consignments.
Before You Begin
Open the required Consignment screen and load the consignment you want to update.
Steps
- Find and open the required consignment.
- Press Alt + E or click Edit to enter edit mode.
- In the upper grid, locate the stock item that has been partially delivered.
- Update the value in the Qty column to match the quantity actually received on the consignment.
- Press Ctrl + S or click Save.
- When prompted with the message:"Do you want to split out short delivered purchase order lines?"click Yes.
- Khaos Control will automatically split the purchase order line in the lower grid:
- The quantity received on the current consignment is shown in orange.
- The remaining outstanding quantity remains available to be added to a different consignment.
Example
If a purchase order contains 100 units, but only 60 units arrive on the current consignment:
- Enter 60 in the consignment quantity.
- Save the consignment and confirm the split.
- The original purchase order line is divided into:
- 60 units received on the current consignment.
- 40 units remaining and available for allocation to another consignment.
Important Notes
If the Stock Item Has Not Been Added
If the stock item does not already appear in the upper grid, you must add it before you can adjust the delivered quantity.
Related Records Are Also Updated
When a purchase order line is split:
- The associated Purchase Order is updated.
- The associated Delivery Note is updated.
- Both records show the same quantity breakdown as the consignment.
This ensures that all related documents accurately reflect the quantities received and still outstanding.

- Splitting quantities is useful when suppliers deliver orders across multiple shipments.
- Outstanding quantities remain linked to the original purchase order.
- Remaining quantities can be added to a new consignment when the balance of the stock arrives.
