How To: Delete a Stock Item
Table Of Contents
Introduction
If a stock item has been created in error and has not been used anywhere in Khaos Control, it can be deleted from the system.
However, once a stock item has been used, for example on a Sales Order, Purchase Order, Invoice or other transaction, it can no longer be deleted. In these cases, the item should be marked as discontinued instead.
Important: Deleting a stock item permanently removes it from the system. Only delete items that have never been used.If you have created SCS child items in error, refer to the SCS Maintenance process for guidance on removing child stock items.
Before You Delete
A stock item can only be deleted if it has not been used in any transactions, including:
- Sales Orders
- Purchase Orders
- Invoices
- Stock movements
- Other related transactions
If the item has been used, mark it as discontinued using the Stock | Detail | Options tab instead.
Delete a Stock Item
- Open a Stock screen.
- Find and load the stock item you want to delete.
- Click the Delete button.
- When the confirmation message appears, select Yes.
If the stock item has not been used, it will be removed from the system.
If the Item Cannot Be Deleted
If Khaos Control prevents the deletion, the stock item has most likely been used in one or more transactions.
In this situation:
- Open the stock item.
- Go to the Stock | Detail | Options tab.
- Mark the item as Discontinued.
- Save your changes.
This removes the item from day-to-day use whilst preserving historical transaction data.
Tips
- Always check whether the stock item has been used before attempting to delete it.
- Consider marking items as discontinued rather than deleting them if there is any chance they may have been referenced elsewhere.
- Use meaningful stock descriptions and stock codes when creating new items to reduce the need for future deletions.
