How To: Debt Chasing

Customer Debt Stages can be changed manually or automatically after the debt stages have been set up see How To: Setup Debt Chasing. The manual method can either be for a specific customer or for a group of customers. The automatic method changes the debt stage of customers onto the next appropriate debt stage where applicable (i.e. the time period set up in system data has passed and they have not cleared their debt).

A customer's debt stage can be seen in their [ Customer | Detail | Financial ] tab.

Manually altering debt stages

Manually changing the customer's debt stage can be carried out from two different locations within Khaos Control:

Customer Screen

  1. Open a Customer screen (show me how).
  2. Load the required customer record.
  3. Go to the [ Detail | Financial ] tab.
  4. Press Alt+E or click the green triangle icon is the buttonbar's EDIT button to enter edit mode.
  5. Click on the Debt Stage drop down list (on the right of the screen) and select the appropriate debt stage.
  6. Press Ctrl+S or click the disk icon is the button bar's SAVE button    to save.

Debt Management tab

  1. Open an Accounts screen (show me how).
  2. Go to the [ Debt Management ] tab.
  3. Change the filters as required and click on the Go button to populate the grid.
  4. Select the customer(s) whose debt stage you wish to change.
  5. Right-click in the grid to bring up the context menu.
  6. Select 'Change Debt Stage' from the options.
  7. In the Debt Stage Change popup select the debt stage you wish the selected customers to be changed to.
  8. Click 'OK'.

Automatically moving customers between debt stages

  1. Open a Customer screen (show me how).
  2. Load the required customer record.
  3. Go to the [ Financial ] tab.
  4. Click on the BtnGreenOpen.jpgicon next to Debt Stage. The Debt Chase Stages popup shows all customers with debt stages listed against them (unless the Stage traffic light filter is active, and then it will only show the customers in the specified debt stage).
  5. Either:
    • Leave as all customers debt stages listed against them or...
    • Filter for customers on a specific debt stage.
  6. Click on the the Process Debt Stage button button.
  7. In the Confirm popup click on 'Yes'.
  8. An information popup appears listing:
    • The companies moved onto the next debt chase stage.
    • The companies who remain unchanged (i.e. they are within their current debt chase stage period).
    • Companies who were taken off the debt chase stage as they have no outstanding invoices.
  9. Click on 'OK' to close the information popup.
  10. Click on 'OK' to close the Debt Chase Stages popup.
