Stock Level Imports using Stock Adjustments Screen


Overview

In order to import stock leves into Khaos Control, there are specific naming conventions and formats that must be followed so that the system recognises them and therefore the information is imported correctly. If you're not sure what field to use, please email Development.

Warehouse Location Control is needed and not enabled by default.
Training must be completed before using the warehouse functionality.

Note: there will be additional costs involved if this option is enabled.

Note:

  • You cannot use both adjust to and adjust by on the same line for the same stock item. One or the other must be used.
  • Stock must be assigned to the location.
  • When creating the import file within Excel, a blank line is added at the bottom. You can open the file with Notepad and amend or import as it is, where this line will be skipped,

and the rest will be importedpacks/bundles/move withs can't be imported using the Stock Import Tool.

Preparation

  1. Make sure that the data you want to import is correct. As this may come from another database you need to ensure that you validate it before attempting to import.
  2. If there is information in the file that is irrelevant and is not a required field, then you can delete it.
  3. Excel will strip leading zeros from numeric stock codes and barcodes, so please ensure that you take appropriate formatting steps if you have any leading zeros in these fields.
  4. Your import file must be saved as TXT.
  5. When creating the import file in Excel, if a blank line or lines, has/have, been added at the bottom, please remove them.

Usage

Once you have created your import file:

  1. Open a Stock screen (show me how).
  2. Go to the Adjustments tab (Number 7).
  3. Go to the 2nd tab within the adjustments screen - Adjust (Warehouse).
  4. On the left hand side, there is a 'Load Adj' button:
  5. Once clicked on the 'Load Adj' button, select the TXT file you wish to import.
  6. The last step is to either write a Note within the Note/Reason box or select a dropdown reason from this box and save the adjustments using 'Save Adj'.
    • Given no errors occur, the Stock Levels will now have been imported into Khaos Control. If errors are returned, check through these and reimport once done.
