How To: Setup Adjustment Reasons

Stock Adjustment Reasons allow users to select a predefined reason when posting stock adjustments from the [ Stock | Detail | Adjustments ] screen.
Using structured adjustment reasons helps standardise stock adjustment records, improves reporting, and provides a clear audit trail explaining why stock levels were changed.
Enable Structured Adjustment Reasons
Before creating adjustment reasons, you must enable the feature.
- Open the [ System Values | Stock | Warehousing ] tab.
- Tick the Structured Adjustment Reasons checkbox.
- Click OK.
Note: You will need to restart Khaos Control before the new setting becomes available.
Create a New Stock Adjustment Reason
- Open a System Data screen (show me how).
- Open the [ System Data | Stock | Adjustment Reasons ] screen.
- Press Alt + E or click Edit to enter edit mode.
- Press F3 or click Add to create a new adjustment reason.
- Enter a Reason Code.
- Enter a Reason Description.
- Press Ctrl + S or click Save.
- Repeat for any additional adjustment reasons you require.
Example Adjustment Reasons
The following are common examples of stock adjustment reasons:

| DAMAGED | Damaged or spoiled stock |
| EXPIRED | Exceeded shelf life |
| FAULTY | Faulty items |
| OBSOLETE | Obsolete, condemned or written-off stock |
| REFURBISH | Stock sent for refurbishment or returned from refurbishment |
| SAMPLE | Marketing or commercial samples |
| VARIANCE | Stock found or missing during a stock count |
These examples can be adapted to suit your business processes.
How Adjustment Reasons Are Used
Once configured, adjustment reasons can be selected from a drop-down list when posting stock adjustments.
Both the Reason Code and Reason Description are displayed in:
- The [ Stock | Stock Adjustments | Adjustments ] screen.
- The Note/Reason column in the [ Stock | Stock Adjustments | History ] screen.
This makes it easier to identify why an adjustment was made and review historical stock changes.
