How To: Update Stock Safe Levels based on Past Sales

Khaos Control can automatically recalculate stock Safe Levels using historical sales data. This helps ensure your reordering figures remain aligned with actual demand and reduces the need for manual adjustments.
Before using this feature, the Safe Level Reassessment options must be configured in [ System Values - Purchasing - Reordering & Safe Levels ].

Important Considerations
Excluding Specific Customer Groups
You can exclude sales from specific Company Classes when reassessing Safe Levels.
To do this, untick Include in Safe Level in the [ System Data | Company Classes ] screen.
Seasonal Products
Important: Safe Level Reassessment does not take seasonal sales patterns into account. Consider reviewing seasonal products manually before accepting calculated values.
How Safe Levels Are Calculated
The calculation used depends on the Include Back Order Figure setting.
When Include Back Order Figure is Enabled
(Quantity Sold + Back Ordered - Excluded Back Ordered) / Months Count
When Include Back Order Figure is Disabled
Quantity Sold / Months Count
The Include Back Order Figure option is configured within:
[ System Operations - Edit System Values - Reordering & Safe Levels ]
Understanding Months Count
Months Count is calculated using the number of months between:
- The current date.
- The date the stock item was created.
Additional Rules
- A minimum value of 1 month is always used, even if the calculated value is 0.
- If the number of months exceeds the configured maximum, Khaos Control uses the maximum value specified in System Values.
Configure Safe Level Reassessment Options
Before reassessing stock items, review the relevant settings.
- Open: [ System Values - Purchasing - Reordering & Safe Levels ]
- Configure the following options as required:
- Max Number of Months Sales to Assess
- All Sales Orders / Issued Sales Orders
- Include Return Credits and Exchanges
- Include Back Order Figure
- Include Items with a Safe Level of 0
- Calculate Build Child Items from Parent Item SalesThis option includes child items sold through build products when calculating Safe Levels.
- Save your changes.
- Restart Khaos Control for the updated settings to take effect.
Note: Any changes made to these System Values will not be applied until Khaos Control has been restarted.
Update Stock Safe Levels
Once the system options have been configured, you can reassess Safe Levels for selected stock items.
- Open a Stock screen (show me how).
- Open the [ Stock | Reordering ] screen.
- Load the stock items you want to review or update.
- Green-select the items to be reassessed.
- Right-click within the grid and select Safe Level Reassessment.
- When the confirmation window appears:
- Click OK to continue, or
- Click Cancel to stop the process.
- Khaos Control will recalculate the Safe Level for each selected item using the configured monthly sales assessment rules.
Note: If Include Items with a Safe Level of 0 is unticked in System Values, stock items with a current Safe Level of 0 will not be updated.
Result
The selected stock items will have their Safe Levels updated based on historical sales activity and the criteria configured in System Values.
Tips
- Review reassessed Safe Levels before placing large purchase orders.
- Consider seasonal demand patterns when evaluating calculated values.
- Reassess Safe Levels regularly to keep stock replenishment settings aligned with current sales trends.
- Use Company Class exclusions where appropriate to prevent internal, trade or non-standard sales from influencing Safe Level calculations.
