Complaint Types

Introduction

The Complaint Types screen allows you to create and maintain the categories used when recording complaints in Khaos Control.
Complaint Types help standardise the way complaints are logged, making it easier to analyse trends, identify recurring issues and report on customer service performance.
These complaint types can be selected when creating or updating complaints in the [ Customer / Supplier | Detail | CRM | Comments / Complaints ] screen. They can also be used as a filter within the [ CRM Manager | Complaints ] screen.

Complaint Types Grid

The Complaint Types screen contains the following fields:

FieldDescription
Complaint TypeThe category assigned to a complaint. Examples include Customer Service, Delivery Problems, Product Issues, Staff Attitude or Waiting Times.
DefaultDetermines which complaint type is automatically selected when a new complaint is created.

Complaint Type

Use this field to define the categories that best reflect the types of complaints your business receives.
Creating meaningful complaint categories can help when:
  • Reviewing customer feedback.
  • Identifying operational issues.
  • Producing management reports.
  • Monitoring trends over time.

Default

Tick the Default checkbox to make a complaint type the default selection when creating new complaints.
This can be useful if one complaint category is used more frequently than others.

Complaint Types Context Menu

The Complaint Types grid includes the following right-click options:

OptionDescription
Apply Value RangeApplies the same value to all selected rows within the current column. For more information, see How To: Apply Value Range.
Clear SelectionRemoves the current selection from the grid.

Best Practice

When creating Complaint Types:
  • Keep categories clear and easy to understand.
  • Avoid creating multiple categories with very similar meanings.
  • Review complaint types periodically to ensure they remain relevant.
  • Use consistent naming conventions across all complaint categories.
Well-structured complaint types make reporting more accurate and help identify opportunities to improve customer service.
