How To: Send Emails based on your Purchase Order Line Status

This option only works for purchase order items that have been created as a back order item for a specific customer.

Emails based on Purchase Order line status must be setup before they can be sent, see How To: Setup Emails to be sent based on your Purchase Order Line Status.

Create the Emails

  1. Open a Purchase Order screen (show me how).
  2. Open the [ On Order ] tab.
  3. Use the filters to locate the items you wish to send emails for.
    Note: some of the filters are (Red Traffic Light Filter /Green Traffic Light Filter traffic light filter) and need to be green to be on.
  4. Click the Go button to populate the grid.
  5. Change the status of the order line, see How To: Change the Status of an Purchase Order Line (Optional)
  6. Press the Email button on the On Order screen to send the emails to Pending emails.
  7. In the Confirm popup select Yes.
  8. The Information popup will detail the number of emails that have been sent, click on OK to close it.

Send the Emails

  1. Open an Email Manager screen (show me how).
  2. Ensure the Pending Emails radio button is selected.
  3. Click on Go to populate the grid.
  4. Green select the emails that you wish to send.
  5. Right click and select Send Selected Emails from the context menu.
  6. In the Confirm popup select Yes.

The emails will now have been sent to your customer to update them on their status change.
