Short-Cut Keys in Sales Orders


What are short-cut keys?

Short-cut keys allow the user to interact with Khaos Control using the keyboard, therefore reducing reliance on the mouse.

Benefits of using short-cut keys in sales orders

Using short-cut keys enables users to utilise the system more efficiently when creating and editing sales orders.

Short-Cut Keys in Sales Orders

A previous Hidden Gem listed some of the short-cut keys available throughout the system. This Hidden Gem contains short-cut keys that users will find helpful and time saving when editing sales orders, and many are also applicable to purchase orders. The table below includes an example of their use.

Editing the Sales Order

The short-cut keys below allow the user to edit or manage the stock on the sales order. Some short-cut keys require the order to be in edit mode while others don't.

on in the grid.
Focus on a stock item in the grid, press Ctrl+Del and the item will be removed from the grid. Useful if an item has been entered in error.
Ctrl+ Shift+IDisplays the Items Sent dialog showing all
items that have been sent.
Open the sales order, press Ctrl+ Shift+I to display the Items sent dialog, the 'Qty Sent' column will show how many of an individual stock item has already been sent to the customer.
Note: you do not need to be in edit mode.
Ctrl+OOpens the Past Prices dialog.Focus on the stock item in the grid, press Ctrl+O. The Past Prices dialog will show all the previous orders that the stock item is on along with the prices paid and any discounts used. The user can double-click on a line to use the price on the current sales order.
F9+6+ EnterConvert a quotation into a sales order.Open the quotation, while not in edit mode press F9+6+ Enter. In the Confirm popup click on 'Yes'. The sales order will be converted to a sales order and is ready to edit, for example adding the payment, changing items or adding additional items.
F9+0Creates a copy of the current sales order
for a different customer.
Note: the sales order must not be in edit mode.
Open the sales order to be copied and press F9+0. After selecting the customer from the Customer Lookup, a Confirm popup will appear asking if you wish to recalculate the prices. This will arise if the customers are entitled to different prices for the same items. Select as appropriate.
Ctrl+ Shift+DAppend Extended DescriptionIn the sales order focus on the stock item and press Ctrl+ Shift+D. The Extended Description popup appears. Enter the extended description text and click on OK.
Ctrl+ Shift+SOpens the Stock/Site Selection popup.In the sales order press Ctrl+ Shift+S. This opens the Stock/Site Selection popup allowing the user to select the site that the stock on the sales order is to be assigned from.
Ctrl+ Shift+VApply Value RangeIn the sales order in edit mode green-select the lines to be updated and focus in the column to be updated, for example 'Qty'. Press Ctrl+ Shift+V and enter the value in the 'Value' popup. Press Enter or 'OK'.
Ctrl+ Shift+YAssigns stock to the current item.
Note: the sales order must not be in edit mode.
Open the sales order, press Ctrl+ Shift+Y. In the Warning popup select Yes or press Enter. Stock will be assigned if it is available to the stock item focused on or any items that are green-selected.
Ctrl+IOpens the Sales Invoice Manager filtering on the sales order.Create and save the sales order, press Ctrl+I to open the Sales Invoice Manager filtered on the sales order. This is useful if you wish to quickly process the order through the stages.

Adding or Updating the Customer Record or CRM Manager

An earlier Hidden Gem covered updating a customer record from a sales order. The following short-cut keys can also be used:

Ctrl+ Shift+CAdd a Communication Log entry from the sales order.In the sales order press Ctrl+ Shift+C to bring up the Comm Log Entry dialog. Enter the description and select the CRM Type and set the other options as required. Click on OK and OK in the Confirm popup. The entry will appear in the [ Customer | Detail | CRM | Communication Log ] screen.
Ctrl+ Shift+TAdd an action from the sales order.While in the sales order press Ctrl+ Shift+B to open the New Action dialog. Enter the description and details for the action and press 'OK'. Press 'OK' in the confirm popup. The action will appear in the [ CRM Manager | Appointments and Actions [List] ] and [ CRM Manager | Appointments and Actions [Diary] ] screens.
Ctrl+ Shift+BBook an appointment from the sales order.While in the sales order press Ctrl+ Shift+B to open the New Appointment dialog. Enter the description and details for the appointment and press 'OK'. Press 'OK' in the confirm popup. The appointment will appear in the [ CRM Manager | Appointments and Actions [List] ] and [ CRM Manager | Appointments and Actions [Diary] ] screens.

Quick Payments

Short-cut keys can be used to change the payment method used by customers to pay for their orders.

F9+1Set the payment type as Cash.While in Edit mode press F9+1. The [ Sales Orders | Payment ] screen will open and the payment type will be set as Cash and the Amount value to the Order Total.
F9+2Set the payment type as Cheque.While in Edit mode press F9+2. The [ Sales Orders | Payment ] screen will open and the payment type will be set as Cheque and the Amount value to the Order Total.
F9+3Set the payment type as Credit Card.While in Edit mode press F9+3. The [ Sales Orders | Payment ] screen will open and the payment type will be set as Credit Card. The user will have to process the credit card payment in the normal way.
F9+4Set the payment type as Account.
While in Edit mode press F9+4. The system will warn that if any payments have already been taken but not processed they will be lost. If the user selects 'Yes' to continue the payment method will change to Account.
Notes:
  1. This only applies to non-account customers.
  2. Users must have permission to create account customers; see the Restrict A/C Pay option in the User Permissions dialog in [ System Data | Users ].
